Multi-Branding User Guide

ClearCompany's Recruiting and Onboarding platform can support a company with distinct brands or those with parent-child company relationships, all in one system, while still providing a brand-specific candidate experience within the hiring processes. This branded support is accomplished through our Multi-Branding offering.

To learn if your organization is a good fit and how to enable Multi-branding, please review this article. The focus of this guide is to explain how the branding features work once they are enabled in your account. Familiarity with building email templates is recommended.

What is multi-branding?

Multi-branding refers to a bundle of system features that create a branded applicant and new hire experience. The branded experience is created by presenting the correct brand details to various parts of the hiring process such as job postings, candidate communications, offer letters and onboarding packets.

The branding components currently supported are:

  • Brand Name
  • Brand Logo

Where in the system can branding be used?

  1. Career sites/pages
  2. Individual brand support for 3rd-party job board postings
  3. Brand-supported system-automated candidate communications
  4. Brand-supported custom candidate communications
  5. Brand-supported internal system communications
  6. Areas of applications, offer letters, and onboarding packets

How does the system know which brand details to use?

When your ClearCompany account is first set up with multi-branding, a Custom Requisition Field titled Brand Name will be created as a list of your Brand Names to be used throughout the system. This field is also configured on the system's back-end to be associated with a specific Brand Logo for each Brand Name.

During each requisition creation process, a Brand Name must be selected from this custom field. The brand selected will determine which logo and name are presented on the job postings, communications, and other hiring activities associated with this requisition.

Which communications can be customized with branding?

Certain system-generated emails and text communications, both internal and candidate-facing, automatically support the use of the Brand Name once multi-branding is enabled and requires no additional action from you in order to display. Other communications, such as custom email templates, support branding but require minor setup to begin using. Details about both communication types are listed below.

Automatic Brand Updates - No Action Required
  1. Internal System-Generated Messages

The Brand Name is added to the relevant sender/subject/message/body area for all internal messages related to:

    - Requisition creation and edits
    - Requisition approvals
    - Offer letter approvals
    - Interview scorecards
  2. Candidate and New Hire System-Generated Messages

The Brand Name is added to the relevant sender/subject/message/body area for all candidate messages related to:

    - Application emails
    - Text to Apply auto-response
    - Interview text reminders (auto-generated)
    - Opt-In text message for 10DLC compliance

Optional Brand Updates - Action Needed

This includes the different areas you can optionally update to use the Brand Logo and/or Brand Name variable field. If no action is taken once multi-branding is enabled for your account, the parent company name and logo will continue to appear in these communications - that will be no change from your existing candidate and new hire experience.

  1. Candidate and New Hire Messages

Option to replace [Company Name] variable with [Brand Name] variable:

    - Candidate email templates - how to set up/edit
    - Candidate email builder - how to send a candidate email
    - Offer letter templates - create an offer letter template
    - Onboarding packet email templates - edit onboard packet emails & alerts
    - New hire task reminder emails - edit onboard packet emails & alerts

How to post jobs for different brands

Posting to 3rd-Party Job Boards

By selecting the Brand Name on the requisition custom field, ClearCompany will automatically send those jobs to the supported public job boards, like Indeed, under that company name.

Posting to Career Sites

During the original setup of Multi-Branding, your ClearCompany managed career site(s) can be configured in one of two ways, as explained below:

  1. The Parent brand career site displays both the Parent + Child branded jobs. In other words, all jobs across all brands are displayed on one career site. Brand Name can be added as a Filter and/or Column option on the job openings list.

Please reach out to ClearCompany Support to make modifications to your job openings list.

  2. The Parent brand career site only displays parent-branded jobs. Child-branded jobs will be posted on the unique careers page associated with each child brand. Selecting the Brand Name on the requisition custom field will determine which career site the job is posted to.

Your Customer Success Manager (CSM) will be able to confirm which of these options your organization has configured.

If your careers page is custom-built using our REST API or XML/JSON Jobs Feed, you will be able to differentiate jobs by their brand. In the XML/JSON Jobs Feed, the CompanyName attribute will populate the Brand Name that was selected on the requisition custom field. In the REST API, the Brand Name will be available in the Custom Field Answers attribute.

How do I modify my brand details?

Brand Logos

To update the logo for a specific brand, please send an email with the name of the Brand and the new logo image file to your Customer Success Manager (CSM) or ClearCompany's Support team (support@clearcompany.com).

Brand Names

In order to add a new brand or change the name of an existing brand, please reach out to your Customer Success Manager (CSM) with your request details. A case will be submitted to ClearCompany's development team to complete the request.

Note: Simply adding a new name or modifying the existing options in the Brand Name custom requisition field list will not work. Additional back-end configuration is needed to support updating and creating new brands.
