Managing a Requisition

Once a requisition is created, you can edit the details during any stage of its lifecycle. Common use cases for editing a requisition include updating the Job Description or Application Process, along with adding people to the Hiring Team. Follow the guide below to learn how to manage your requisitions.

Creating a Requisition

When you are ready to start your recruiting process, you will create your requisition using the A-Method of Hiring or the Simple Form. Regardless of which method best fits your needs, you may want to edit a requisition. If a requisition is created and an approval process is added, you will want to ensure that the approval process is as smooth as possible to make sure you post your requisition as soon as possible.

Note:

Users with Recruiter permission can edit all requisitions in the system. Those with Hiring Manager permission will only be able to modify requisitions they're assigned to as the main Hiring Manager.

You can use the Requisitions tab of your Recruiting tool or use the search function in the upper right-hand corner of the platform to find the requisition in question. Requisitions Search.png

  1. When you have selected your requisition, click the Details TabDetail.png
  2. On the top-left corner click Edit Details. Edit Details.png
  3. Make any changes needed to the details of the requisition. Notable information for changes to certain fields is listed below.
    1. Title: Changes to the requisition title will immediately be reflected within your system and your public career site upon saving. It may take up to ~24 hours for this change to be reflected on 3rd-party job board postings.
    2. Approvers: While a requisition is in Draft or Pending Approval status, you can edit the approval process for a requisition. More information below.
    3. Application Process: Candidates with an incomplete application for this requisition will be presented to complete the updated application process the next time they access their job application.
  4. When satisfied with your changes, click Save.
  5. If a requisition has an approval process defined, whether in progress or completed, you will be prompted to declare if your changes require restarting the approval process.
  6. Any notes added will be stored in the Requisition Notes section and sent in the Requisition Reapproval email received by the approval participants. Selecting to Continue Where It Left Off will prevent restarting a full or partially approved requisition.
Approvers

While a requisition is in Draft or Pending Approval status, you can edit the approval process for a requisition.

  1. Add: Search for the name of the user to include in the approval process. Users must have at least the Employee permission to appear in the search results.

  2. Reorder: Click and drag to change the order in which the approvals will occur.

  3. Remove: Click the 'X' icon to delete a user from the approvals list.

  4. Reset approvers to default from template: If using a requisition template that has an approval process set up, you can reset it to the original approvers at any time.

Upon saving changes made to the approval process, you will be prompted to leave an optional note and either Restart the Approval Process or Continue Where it Left Off. See the example below.

How to Edit the Requisition Posting Options

You can use the Requisitions tab of your Recruiting tool or use the search function in the upper right-hand corner of the platform to find the requisition in question.

  1. When you have selected your requisition, click the Details Tab. Detail.png
  2. Click the Job Boards tab, then Edit Posting Options. Edit Posting Options.png
  3. Use the toggle located to the right of each Job Board type to change where a requisition should be posted. Job sponsorships can also be purchased on this page. Double-check the following as well: Edit Posting.png
    1. Add or Remove any locations
    2. Check if you would like to enable custom candidate sources
    3. Check if you would like to add vendors
  4. When satisfied with your changes, click Save Updates.

Edit a Requisition Status

The status of a requisition can tell you and your colleagues where you are in the hiring process at a glance. It can also help when you want to control the flow of candidates when you want to freeze hiring for that requisition. You can put job requisitions in an open, hold, or close status. Open Status.png

What does each Requisition Status mean?
  1. Open: When you create a requisition, it will automatically be set to "Open." If you are live, this means that the requisition will be posted based on the posting options you selected during creation. Candidates will be able to apply and hiring managers will be able to access the requisition inbox.
  2. Hold: When you put a requisition on hold, this will remove the job from posting without closing the requisition. This will prevent any new applicants from applying but will keep the requisition open for reporting purposes.
  3. Closed: When you have filled the position, you can close the requisition. This will remove it from posting, and will remove it from certain views as "inactive."
  4. Draft*: If you save and close or exit out of a requisition during the creation process, it will live in draft form. You can access your drafts later to jump back in and get the requisition opened and posted from the requisition dashboard.

If you change the status of the requisition to Closed you will still be able to communicate with candidates that you are actively communicating with (who are in that requisition). They will not be able to make or complete the application related to the requisition.

Changing the Status of a Requisition

You can use the Requisitions tab of your Recruiting tool or use the search function in the upper right-hand corner of the platform to find the requisition in question.

  1. Once you have clicked on the requisition you wish to put on hold or close, click on the status of the requisition underneath the job title.
  2. Select the appropriate option. Note that you will be able to re-open later if need be.Requisition Status.png

Delete a Requisition

If you created a test requisition or accidentally created an incorrect requisition, you have the option to delete the requisition. This will remove it from the search and is only recommended for the two scenarios listed above as it can affect reporting as well.

You can use the Requisitions tab of your Recruiting tool or use the search function in the upper right-hand corner of the platform to find the requisition in question.

  1. Once you have clicked on the requisition you wish to delete, click on Details.Detail.png

  3. On the editing page, scroll to the bottom to find the Delete this Requisition button.Delete this Requisition.png
  4. A warning window will appear alerting you that deleting the requisition can't be undone.Delete Message.png
  5. If you would like to proceed, click Delete. If you have changed your mind, click Cancel.

Approving a Requisition

If an approval process was added to a requisition, a user will have received an approval request for a new job posting. This means the job cannot get posted without your (and possibly other people's) approval. 

Requisition Approval Statuses

When a requisition has an approval process and has either been approved or rejected, you will see the following statuses in your requisition dashboard and when navigating to those requisitions.

  1. Open, Not Posted: When a requisition has been approved, the status is updated to show this status. The user will have to go in and proceed through the posting options.
  2. Rejected: This will show all requisitions that have been rejected and have not been edited or updated for a new approval process.
  3. Pending Approval: This will show all the requisitions that are in the process of approval. When you click on the requisition you can see which user currently has to approve it and resend the approval process.
  4. New Requests: The"New Requests" status is a pre-approval step when settings are applied where a Hiring Manager cannot post a requisition, this means the recruiter assigned to a review will have to review a requisition before initiating a formal approval process. A handy step in the process if Hiring Managers are not sure who should approve the requisition.

If your approval is requested for a job requisition, you should receive an email notification from ClearCompany that will look like: Propose Requisition.png

Approving or Rejecting by Email

If your organization allows requisition approval by email, you will be able to click the Approve or Reject buttons pictured above and approve/reject the job posting without having to log into ClearCompany.

If your organization does not allow approvals by email, you will be asked to sign into your ClearCompany account to view the details of the job requisition in question before approval.

  1. If you click to Approve the job requisition and it is approved successfully, you will be brought back to the tasks window.
  2. If you choose to Reject the requisition, you will be able to provide a reason, as pictured here: Email Reject.png
  3. The rejection reason provided will then be sent as an email notification to the manager and recruiter responsible for the job posting. They can then make the necessary adjustments and re-send for approval. Reason Reject.png
Approving or Rejecting in the ClearCompany Application

This is a great option if you've lost track of the approval request email or want to get through all of your job posting approvals in one sitting. You can complete any recruiting tasks, including requisition approvals, under the Tasks tab.

  1. Head to Me in the upper right-hand corner of the ClearCompany application. Click Tasks from the dropdown that appears. Me Tasks.png
  2. On the task page, you may need to sort your Task Type using the dropdown on the right. Click Requisition Approvals. All Tasks.png
  3. Click the approval task you'd like to start with.
  4. When you are taken to the approval page, you can see all of the requisition details and the option to approve or reject the job posting at the top of the page. Rejection Email.png
  5. When you're done, click Submit at the bottom.
