Overview
1:1 Workspaces are designed to support consistent communication and stronger manager–employee relationships. They allow managers and employees to prepare for meetings, capture discussion notes, assign follow-up tasks, and track the outcomes of one-on-one conversations over time.
The feature includes:
- A 1:1 Home Widget located on the ClearCompany homepage.
- A collaborative workspace page for each one-on-one relationship.
- The ability to create notes and assign tasks.
- Visibility controls to keep entries private or shared.
- Consistency tracking is |tied to calendar integrations.

Where is the 1:1 Workspace Located?
1:1 Workspaces consist of two primary components:
- The 1:1 Home Widget on the ClearCompany homepage.
- The 1:1 Workspace page, where collaboration occurs.
On your ClearCompany homepage, the 1:1 Home Widget appears near the top-right side of the page and is titled “Your 1:1 with…”.
This widget displays:
- Your supervisor
- Any direct reports you manage
Employees are listed alphabetically, and the list cannot be customized. Selecting a name from the widget opens the corresponding 1:1 Workspace.
The 1:1 Workspace serves as the main collaborative area where participants can create notes, assign tasks, and track discussion topics.
To access the workspace:
- Navigate to the 1:1 Home Widget on your homepage.
- Click the name of the employee or supervisor.
The workspace contains two tabs:
Current 1:1
Displays all active entries and tasks that have not been marked complete. Items are listed by the most recently created or updated.
Past 1:1s
Displays completed entries and tasks, organized by the date they were marked complete.
If an employee changes managers, the previous 1:1 notes with that manager will no longer be accessible.
The One-on-Ones dashboard allows users to view all 1:1 relationships they participate in across the organization.
This dashboard acts as a central location to:
- Access all active 1:1 workspaces.
- Track notes and tasks.
- Navigate between meetings with different colleagues.
1:1s with Anyone
Employees are not limited to meeting only with their direct manager or reports. Any employee can invite another colleague to collaborate within a shared 1:1 Workspace.
This makes the tool useful for:
- Cross-functional collaboration
- Mentorship relationships
- Peer check-ins
- Project-based collaboration
The 1:1 dashboard provides several viewing options:
Supervisor and Direct Reports
Displays your manager and any employees who report directly to you.
Collaborators
Displays employees who have been added as collaborators in shared 1:1 Workspaces.
Add Collaborator
Allows you to add additional users to a shared 1:1 workspace. Currently, collaborators cannot be removed once added.
Create a new Entry or Task
Entries and tasks can be created either from the 1:1 Home Widget or directly within the 1:1 Workspace. Items are private by default, but they can be shared with the other participant if desired.
- Navigate to the 1:1 Home Widget.

Click the name of the employee or add a collaborator.

From the 1:1 Workspace, you can use the text editor to type the description of your note or task.
- Choose visibility:
- Select one of the following:
- After saving, a summary of the item will appear below the text editor.
Entries and tasks can also be created by navigating to the One-on-Ones dashboard, selecting a participant, and opening their 1:1 Workspace.
Edit an existing Entry or Task
Items within the workspace can be edited, updated, or deleted, depending on ownership and visibility settings.
- Navigate to the 1:1 Workspace for the employee/supervisor and locate the entry or task you wish to edit.

Click the ellipsis menu (⋮) to open editing options. If this icon is greyed out, you do not have access to edit the item.

The edit options available to you will vary based on the owner of the item, current visibility settings, and if the item is a task.
You can only edit items you have created, and tasks will need to be shared prior to re-assigning them to another participant.
- Edit Text - Update the description of the entry or task.
- Update Assignment* - *Only visible on shared tasks, this option allows you to change the task assignee or due date.
- Stop Sharing, Make it Private - To make a private item shared, select Share with [Participant]. To make a shared item private, select Stop Sharing, Make it Private.
- Delete Item - To remove an item from the 1:1 Workspaces entirely, select to Delete the item. You will be prompted to confirm the delete action.
Mark an Item as Complete
When an item is completed, it moves from the Current 1:1 tab to the Past 1:1s tab.
1:1 Consistency Tracking
The 1:1 Consistency Tracking feature provides visibility into past and upcoming meetings between managers and employees.
Managers can quickly see:
- When the next one-on-one meeting is scheduled
- When the most recent meeting occurred
Managers also receive email reminders one hour before scheduled meetings, allowing them to quickly access the workspace and prepare notes.
Calendar integration must be enabled for this feature to function properly.
- Their next scheduled one-on-one meeting.
- Their most recent meeting with their supervisor.
- Upcoming meetings with each direct report
- Recent meeting activity across their team
Troubleshooting Scenarios
- If a meeting is not displayed:
- Confirm the manager's calendar is integrated
- Ensure calendar invite email addresses match user profile emails
- Allow 15–60 minutes for calendar syncing
- Bulk calendar integrations may take 3–4 hours during initial synchronization.
- Check if the employee has their calendar integrated. If not, the meeting will not show up. Once the calendar is integrated, it may take 15-60 minutes for the calendar events to sync and start appearing. For Bulk Calendar Connect, the initial syncing may take up to 3-4 hours.
- Ensure that the email addresses on the meeting invitation match the primary email of both attendees in the ClearCompany platform. All email addresses must match for the meeting to be automatically detected.
- If the meeting was recently added or removed, refer to the items below.
Calendar changes may take a few minutes to synchronize. If the meeting does not appear after several minutes, contact your system administrator.
Calendar updates may take several minutes to sync. If the meeting still appears after several minutes, contact support.
- The system tracks one-on-one history for a limited period.
- Data older than 30 days is automatically removed.
- Historical tracking begins only after calendar integration is enabled.
- If a user's work email is missing or incorrect, the system cannot identify meetings.
- This issue may occur due to System of Record sync issues or incorrect entries.
- Correct the email address in the user profile. Updates should appear within 5–10 minutes.
- This may occur if:
- A supervisor is not assigned in the user profile
- Calendar integration is not enabled

FAQs

Yes, to turn a note into a task, edit the item and add:
- An assignee
- A due date (optional)
Once assigned, the item becomes a task you can track and mark as complete.
No, tasks in the One-on-One workspace use a simple “not done” or “done” status. There is no percent-complete field. Many teams track progress by:
- Breaking larger work into smaller tasks
- Adding updates or milestones in the task description or notes

Hello Nikki, as long as you have your calendar integrated it should sync and include the next meeting when scheduled with the team member. If you have any issues please reach out to your support team.
Can admin users view all 1:1 workspaces/notes?
Hey Rochelle, admins with access to reporting can get access to the One-on-One report, which will display the Employee Counts and the Managers having the meetings.
Can previous 1:1 notes be transferred in the system when there is a supervisory change, or do those notes disappear?
Hello Karen, if an employee changes to a new manager, their notes with their previous manager will still be accessible if both of them are still active in the organization. They'll switch to collaborators, and their notes will show up there. If the manager or employee is terminated, then the notes will not be accessible. At this time there is a feature request which you have been added to.
