The Learning Data Visualization tools within ClearCompany Learning provide administrators with powerful, visual insights into system usage, user engagement, and training progress. These visualizations are ideal for quickly identifying trends, understanding user behavior, and supporting data-driven decisions to improve your organization’s learning outcomes.

Data Visualization Overview

The Data Visualization Dashboard offers multiple graphical tools—referred to as gadgets—that summarize platform usage in a visually digestible way. These gadgets include calendar views, user action charts, assignment breakdowns, and group analytics. Unlike more targeted reports (e.g., Assignment or Completion Reports), data visualizations offer a high-level, dynamic overview that can be filtered and explored by admin users with the appropriate permissions.

Navigation:

  1. From the administration dashboard, click Reports, then click Data Visualizations.Data Visualization Option.png

Data Visualization gadgets are most effective for visualizing data trends across multiple user groups and assignments. They complement other system reports by offering a snapshot of overall platform activity.

Data Visualization Rights

The Data Visualization Dashboard by default, access is restricted to admin roles (Manager, Administrator, SuperAdmin). To grant access to other roles, assign the Data Visualization right.

Role-Based Viewing Rules

  • Managers can only view data for users with the User role.
  • Managers cannot see other Managers unless explicitly allowed.
  • Administrators cannot view other Administrators unless the Requires Role Assignment setting is configured.
  • Rights cannot be restricted by individual gadgets or datasets, but visibility can be controlled through hierarchy and role assignments.

Considerations

  • Some gadget data (e.g., earned badges) updates in real-time; other metrics (e.g., completions) may have slight delays.
  • Unlike the Analytics Dashboard, Data Visualizations can be filtered to show specific groups for a more focused view.
  • Establish governance for who can change or manage gadget layouts.
  • Use visualization insights to inform content updates and learning strategy.

Data Visualization Gadget Options

Below are available gadgets.

Group Tree Graphic

The Group Tree Graphic displays group information.

Purpose: Visualize group structure and related metrics.
Use Case: Identify high-performing or underperforming groups based on completions, users, or login activity.

User Records Breakdown Graphic

The User Records Breakdown Graphic displays completed or started records of users in the system.

Purpose: Compare completion and start data over time.
Use Case: Spot learning engagement trends and dips across the organization.

  • The number of records is listed on the y-axis.
  • The month and year are listed on the x-axis.
  • Time Frame (All Time, 1 Year, 3 Months, Custom)
  • Change View (Real Numbers, Percentage)

Calendar Graphic/View

The Calendar View visualization displays Completions, Started Records, and Logins.

Purpose: Daily/weekly/monthly view of completions, logins, and starts.
Use Case: Track engagement peaks and align them with program launches or initiatives.Calendar View.png

User Actions Graph

The User Actions Graph displays specific User actions over a duration of “all time.”

Purpose: Visualize actions taken by users/admins.
Use Case: Evaluate platform activity trends, especially for monitoring admin support or troubleshooting low usage.

 

Filters available:

  • All Users
  • User Actions Only
  • Admin Actions Only.

Group Completion Graphic

The Group Completion Graphic allows users to review up to 30 groups' completion of an object selected.

Purpose: Display object completion across up to 30 groups.
Use Case: Compare completion rates between departments or teams for a single object.

Group Details Graphic

The Group Details Graphic visualization displays information based on the users' rights and the gadgets selected.  The group details graphic is useful when an admin has access to multiple groups. In the group details graphic, an admin can select a specific group and, if needed, include subgroups:

  • All gadgets are draggable so you can customize the order in how they appear.
  • All gadgets have an icon in the upper right corner:
    • The down arrow allows users to export the data to a .csv file.
    • The camera allows users to get a PNG file of the visual.

From the Group Details visualization, click Manage Gadgets in the top right corner to edit.

Actions

Description

The Action gadget provides a review of specific User actions over a duration of time (3 Months, 6 Months, 1 Year, or Custom).

Purpose: Track actions performed over time by role.
Use Case: Measure user engagement or administrator intervention.

Users can filter between:

  • All
  • User Actions Only
  • Admin Actions Only.
  • To review specific actions hover over a color piece.

CSV Data Fields

When exporting to CSV, the following columns will be available.

  • Log Type Name
  • Action Count

Assignments

Description

The Assignment gadget shows results for each assignment batch pertaining to accounts that can be accessed.

Purpose: Visualize assignment batch status.
Use Case: Spot overdue or incomplete assignments by batch.

  • Each circle represents an assignment batch.
  • The color key is on the left-hand side differentiates statuses:
    • Overdue
    • Not Started
    • Started
    • Nearing Due Date
    • Complete
  • The number of Users assigned is displayed within each circle.
  • Click on the circle for a list of Users that pertain to the batch.

Badges

Badges

The Badges gadget will show users the badges earned by the user(s)/group(s) during the time frame selected.

Purpose: Track earned badges.
Use Case: Motivate teams and measure participation in gamified learning programs.

  • Time Frame (3 Months, 6 Months, 1 Year, Custom).

Child Group

Description

The Child Group gadget provides a visual representation of the parent-child relationship (if any) for the group selected.

Purpose: Visualize parent-child group relationships.
Use Case: Audit group hierarchies for alignment with reporting structures.

Completions

Description

The Completions gadget provides a review of completions over time with Time Frame options: 3 Months, 6 Months, 1 Year, and Custom.

Purpose: Review object completion trends.
Use Case: Measure the effectiveness of training rollout campaigns.

Goals

Description

The Goals gadget helps users track their progress on assigned goals.

Purpose: Monitor progress toward assigned learning goals.
Use Case: Identify areas needing support or celebration.

  • The gadget displays the:
    • Name
    • Progress of each goal.
  • Completed Goals.

Leaderboard

Description

The Leaderboard gadget displays users' points and badges earned in order of how many points each user earned.

Purpose: Display points/badges in ranked order.
Use Case: Encourage friendly competition among learners.

  • Users can choose the time frame (3 Months, 6 Months, 1 Year, Custom).
  • Selecting a user will display the badges earned by that user and when they were earned.

Logins

The Logins gadget provides a review of logins over time.

Purpose: Track login frequency.
Use Case: Monitor engagement across time or in response to campaigns.

Members

The Members gadget displays members in the system.

Purpose: View system members and learning activity.
Use Case: Audit learner progress at an individual level.

Quick Stats

The Quick Stats gadget provides a review of the total number of:

Purpose: Snapshot of key platform metrics.
Use Case: Executive overviews or trend analysis.

Started Records

The Started Records gadget provides a review of the number of started records displayed by Month.

Purpose: Visualize newly started objects by month.
Use Case: Gauge current engagement rates by content.

  • Clicking the bars will display:
    • List of the Users who started objects within that month.
    • Clicking on a User will show a list of all started objects for that month.

Team Assignments

Team Assignments

The Team Assignments gadget displays a breakdown of assignments for the user's team.

Purpose: Assignment breakdown by status.
Use Case: Quickly identify overdue or at-risk assignments.

The gadget displays the following status:

  • The color key is on the left-hand side differentiates statuses:
    • Overdue
    • Not Started
    • Started
    • Nearing Due Date
    • Complete
  • Adjust the Time Frame (3 Months, 6 Months, 1 Year, Custom)
  • Hovering over each color on the circle will display:
    • Number of assignments in that category
    • Percentage of all the assignments.
    • Click on the different parts of the circle will display the user’s specific numbers in that category.

Top Completed Objects

Top Completed Objects

The Top-Completed gadget displays the objects with the most completions listed in order.

Purpose: Rank top-performing learning content.
Use Case: Understand what content resonates most with users.

  • Adjust the Time Frame (3 Months, 6 Months, 1 Year, Custom)
  • The following object information will be displayed:
    • Type of object
    • Users who have completed or started that object.

F.A.Q.

What should I do if I don’t see any data?

Check role permissions, confirm you have access to the relevant users, and ensure the Requires Role Assignment is set appropriately. Make sure users are active and use the "Include Inactive User Data" setting if needed.

What’s the difference between Data Visualization and Analytics Dashboard?

Data Visualization allows organizations to isolate and filter data by groups, which Analytics Dashboard does not. Data Visualizations also provides targeted insights.
