The User Record Queue allows Administrators and Managers to view and approve started records submitted by end-users. This article provides a step-by-step guide on how to approve or deny a user record.

User Record Queue Overview

The User Record Queue is a feature that enables Administrators and Managers to approve or deny user record completions added by learners to their accounts.

  • Users can add a user record from the Front End Dashboard > My Learning > Completed Training > Add User Record.
  • Rights Associated with the User Record Queue:

    • User Completion Records: Allow users to log their own completion records for internal and external training.
    • Insert Internal Records: Allow users to insert their own records for internal learning objects by selecting from a drop-down.
    • Insert External Records: Allow users to insert their own records for external learning objects by completing a form.
    • Log Completed Objects: Allow users to log their own user records as Complete (With no approval required)
    • Log Started Objects: Allow users to log their own user records as Started (To be approved by the Manager for Completion)
    • User Record Queue: Allow users to approve or deny learners requesting completion records

User Record Queue Use Case

The User Record Queue is primarily used to track and approve records for external training that users have completed, such as:

  • Attending a boot camp or a class qualifying for CE credit.
  • Participating in external training (e.g., CPR certification) not provided by your organization but necessary for reporting.

Key Features of the User Record Queue:

  • Submission: When users with the Insert Internal Record Right submit a started/completed record, it appears in the User Record Queue.
  • When the User submits the started record, it appears in the User Record Queue.

When a user has the Log Completed Objects Right, do their records still need approval?
  1. No. Records logged by users with the Log Completed Objects Right bypass the approval process.
  2. These records appear directly in the completion transcript and reports as an object type “User Record.”
What is Second Level Approval, and how does it work?
  • Users need the User Record Queue Right to appear as options for second-level approval.
  • When second-level approval is enabled, a designated user will receive an email notification after the first-level approval is granted.
  • The approver must sign in, navigate to the User Record Queue, and approve or deny the record.
