You can order background checks in several ways with Background Checks by ClearCompany. This article explains all available ordering methods, including administrative workflows, reorders, and batch orders.

Ordering Methods

You only need the applicant’s first name, last name, and email address or phone number to send a background check invitation.

Each ordering method sends the applicant a secure link to:

  • Enter their personal information.
  • Complete required disclosures.
  • Provide electronic authorization.

Choose the method that best fits your workflow.

Order from Tools

Use this option when placing an individual order outside of the candidate profile.

Steps

Follow these steps to place an order:

  1. Go to Tools > Background Checks.

  2. Click Order, then select New Order.

  3. Select the background check package.

  4. Review included searches, then select the Requestor.

  5. Choose QuickApp to send the applicant a secure link. The applicant receives an email to complete their information and authorization.

Order from an Offer Letter

You can order a background check during the offer process.

Steps

Follow these steps:

  1. Go to the Hire tab, select Create Offer.

  2. Select the offer letter template.
  3. Open Tab 2 - Candidate Offer Package to access background check options.

  4. Scroll down to Automatic Background Check Options, make the selections, and complete the offer letter.

This method helps streamline hiring by automatically triggering the background check when the offer is sent or accepted, depending on your configuration. To learn more, refer to: Automate your Background Check Process.


Order from the Candidate Profile

Note

Users must have the Background Check permission.

Steps

Follow these steps:

  1. Open the applicant profile.
  2. Select Actions > Background Checks by ClearCompany.

  3. Select the background check package, and click Start Background Check.

The applicant receives a link to complete their information and authorization.


Order from the External Dashboard (AllClear)

Use the external dashboard when placing orders directly in AllClear rather than within ClearCompany. Access to the AllClear dashboard must be granted separately. If you do not have access, contact the Background Check team.

When to use the external dashboard

Orders placed directly in AllClear:

  • Do not appear in the applicant’s ClearCompany profile.
  • Are managed entirely within the dashboard.

The external dashboard is designed for administrative visibility and reporting. On this dashboard, you can:

  • View outbound emails sent to candidates.
  • Monitor pending orders.
  • Search completed results.
  • Access analytics.

Steps

Follow these steps:

  1. Log in to AllClear.
  2. Click Order and Click New Order.

  3. Select the package.

  4. Review Package Details, the Requestor, and then select QuickApp.

  5. Input First Name, Last Name, Email (and Cell Phone if you wish to send a text). When done, click Send & Next.

Re-Ordering

If a background check is canceled, the recommended method is to reorder directly from ClearCompany.

Steps

Recommended re-order method:

  1. Open the applicant profile.
  2. Select Actions > Background Checks by ClearCompany.

  3. Select the background check package.

If an applicant declined the QuickApp and the entry was removed from Applicant Ready, it cannot be recovered. In this case, you must place a new order.

You can re-run background checks on current employees if an evergreen release is on file. An evergreen release remains valid for the duration of employment and allows re-runs at any time.

State Requirement

California requires a new authorization for each background check.


Batch Orders

Batch orders allow you to run background checks for multiple individuals at once. Batch orders are available for criminal checks and motor vehicle records (MVRs).

Batch Orders with Existing Authorizations

If authorizations are already on file, submit an XLSX or CSV file with the following columns:

  • First Name
  • Last Name
  • Social Security Number (SSN)
  • Date of Birth
  • Package Name

Column headers must match these field names exactly.

Batch Orders Requiring New Authorizations

If new authorizations are required, ClearCompany can send batch invitations.

Required columns:

  • First Name
  • Last Name
  • Email Address
  • Package Name
MVR Batch Orders

For motor vehicle record checks, include driver information.

If releases are already on file, required columns include:

  • First Name
  • Last Name
  • Date of Birth
  • Driver's License State
  • Driver's License Number

If a new authorization is required, include:

  • First name
  • Last name
  • Email address

F.A.Q.

Can I run a background check before account setup is complete?

Yes. You can use the direct portal to place orders before the full setup is complete.

Can I re-run a background check on an employee?

Yes. Evergreen releases allow re-runs during employment, except in California.
