If your ADP Workforce Now (WFN) account is set as the System of Record for Roles, Offices, or Departments to add or update these values all edits need to be made in your ADP account.

Please Note: ADP & ClearCompany have slightly different field names for these values
- ClearCompany Role = ADP Job Title
- ClearCompany Department = ADP Department
- ClearCompany Office = ADP Location
Note:
The sequence of steps is crucial to prevent duplicate entities in your ClearCompany account.
Order of Operations when Adding or Modifying a Value in ADP
- Add or edit the entity in ADP.
- In ClearCompany, wait for the hourly sync to occur to pull through the new value, or run a manual sync.
- The new or updated entity will appear in your Company Structure list.

- In ADP WFN Account navigate to the Setup Menu and select Validation Tables.
- In the search input either Job Title, Department, or Location depending on what list you want to update.
- Select +Add and provide the relevant information for the new entity.
Editing Values in ADP
- In ADP WFN Account navigate to the Setup Menu and select Validation Tables.
- In the search input either Job Title, Department, or Location depending on what list you want to update.
- Select Edit on the field you would like to edit.
Note:
We pull office names (locations) from ADP, but not the address information.
- When you click to edit a value you can choose to Deactivate it, change the title, or update any relevant information.
- Or you can select values and pick the - Delete button to bulk remove values.
Department Rebranding
Option 1: Using Existing Departments/Roles
(There is no need to report the change separately).
- Login into ADP and update the name of the existing Department in your validation tables.
- Login into ADP and update the name of the existing Job Title(S) in your validation tables.
- ADP Sync - You will see the changes within the hour or you can choose to run a manual sync. (To run a manual sync: In ClearCompany Navigate to Tools > Setup > ADP Integration Management Sync All Users), click here to learn more: ADP: Automated Vs. Manual Sync.
- Update Existing Requisition Template to Align with New Role/Department Names.
Option 2: Using New Departments/Roles
(There is a need to report on the change separately).
- Login into ADP and create a new Department for Product Education in your validation tables.
- Login into ADP and create new job titles in your validation tables.
- Update existing Employee Records and assign them to the new Role & Department.

- Use the ADP Include/Exclude tool to Exclude the old Department/Job Titles.
- Update your Open Requisitions to include the New Department/Role.
- Add Devices Assignment to New Role(s).
- Create Requisition Templates under New Role(s).
- If Role Assignment (Permission by Role) is being used in another World of Work application (e.g., Simplifi-9, Background Checks, or World of Work), the new role(s) will need to be granted permission).
