ADP Include/Exclude gives you ongoing control over what information is included in the sync. ADP organizations will now have complete transparency and control over their integration sync settings.

What is it?

The ADP Include/Exclude feature allows you to see all of your offices, departments, roles, and employees and clearly determine which are included or excluded currently from your System of Record. You will also have the ability to re-include any entities that were excluded previously or exclude entities that are no longer utilized.

Changes/Updates

Changes and updates can be made to the Department, Roles, Offices, and Employees fields. See below for more information.

Data Information
Job Titles/Roles Here you will see the Job Title/Role syncing from ADP. You can quickly see any duplicate Roles, see how many employees are within each role, and make changes to include or exclude any roles.Role.png
Departments Here you will see the Departments syncing from ADP. You can include or exclude individual departments here or select Set Rules by Company Code to bring you to the screen below. You can also see how many employees are within each department.Departments.png
Departments- Set Rules by Company Code You will be able to include or exclude departments by company code. This will allow you to apply changes to existing company codes as well as any new ones created in the future.Set_Rules_Company_Code.png
Locations/Offices You will see the list of Locations/Offices that ClearCompany is receiving and the number of employees in each location/office. Offices.png
Employees You will not be able to see the full list of employees but you can make changes based on the company as well as control the employee data fields that are being synced.Employee.png
Employees- Select Which Employee Data is Synced You can make changes to the employee data fields that we will sync from ADP. Employee_Information.png

 

Successful Change

Once the changes have been made and you select Save on a data group., you will receive the message that ClearCompany is saving your new settings and the updates will begin to sync.

Bulk Action Information
Include All This will include all the roles, departments, or offices.
Only Include Ones with Employees This will only include the roles, departments, or offices that currently have an employee assigned to them.
Exclude All This excludes all data.


FAQ

If I exclude an entity (data point/field) that has previously been included, does that entity get removed from the Company Structure list?

Yes. The entity will be removed from the Company Structure list.

If I exclude an entity that has previously been included, does that value get removed from any users who have that value listed on their user profile in ClearCompany?
Yes. For roles/job titles, the value will be blank on the User Profile. For Offices/Departments, the user will have “Unassigned” listed in that field on their user profile.
Can I include/exclude data points as many times are necessary or is there a limit on how many times a change can be made?
There is no cap on the number of times the configuration can be changed or updated.
If I exclude a role/department/office should they delete the entity from ClearCompany?
No. The entity will be automatically removed from the Company Structure list, and will not require deletion from ClearCompany.
If I no longer want any data points synced from ADP, but want to continue using the new hire transfer to ADP, how should I proceed?
Under each data point, toggle off the “Sync Setting” at the top of the page
I have made changes to the included entities, when should I expect to see the change in ClearCompany?
The change will be visible on the next sync of data that occurs hourly. If you want to see the change immediately, you can select “Refresh” on the Connector Configuration page.
I went through the Alignment Wizard process and misaligned an entity (department, role, office), can that entity be realigned through the Include/Exclude functionality?
You'll need to contact your ClearCompany Representative or ClearCompany Support.
A user is new and they are not sure whether or not a specific entity was excluded during the initial System of Record setup. How can they check this?
Navigate to >Tools>Setup>ADP Integration Management. From there choose the data point in question, >Change/Update. The client should search for the name of the entity using the “Filter by” box in the top left corner. If the entity is greyed out with a strike through the text, the entity was excluded during the initial system of record, or afterward through this tool. To reinclude the entity, click “Include” on the right side of the entity name. Upon the next sync of data, this will be reincluded and synced from ADP. include.png
Should I delete the entity from ClearCompany first before excluding it through the Include/Exclude functionality?
No. Roles, Departments, and Offices should never be deleted from the Company Structure list in ClearCompany. If you would like to exclude a role, department, or office, you should do so under >Tools>Setup>ADP Integration Management. Once the entity is excluded, it will be removed automatically from the list. If you delete a role, department, or office in ClearCompany this will sever the connection between ADP and ClearCompany for that single data point, and the entity will not be able to be reincluded in the future.
If I added a new company code, departments, and locations to our ADP account. Will these new values be automatically included in the ADP sync?
Yes. All newly added entities will be passed to ClearCompany. If you do not want the entity to be passed, you will need to exclude those values under >Tools>Setup>ADP Integration Management.
