When navigating to a candidate profile, you can click "Actions" on the right-hand side. Depending on your permissions users will see different tasks they can complete. In this article, we dive into the actions that can be achieved from the candidate profile.

Candidate Profile Actions
These actions are taken straight from the candidate profile and is only for individual candidates. If you would like to complete tasks in bulk, check out this article. Below are the options available.

Effective communication with candidates is crucial. Candidates can be emailed directly from within ClearCompany, either individually or in bulk. Learn more about emailing a candidate here.

- Who Can you Share a Candidate With?: You can only forward candidate profiles to those at your organization who have a ClearCompany User Account. We require a user login both as a best practice and a security measure, so sensitive candidate information does not leave your organization.
Steps to Share a Candidate:
- Navigate to the candidate's profile.
- Click the Actions and select Share.
- In the To: field, type the name of the user you'd like to share the candidate profile with. You can add more than one user as a recipient.
- Review the email contents and optionally, customize the email to your liking.
- When you're satisfied with the email, click Send.
The level of interaction and the visibility of the candidate's details will depend on what level of access the user has to the requisition.
- Hiring Team Member: Can view and interact with the profile as a Hiring Manager (e.g., replying to emails, scheduling interviews, grading).
- Non-Hiring Team Member: Accesses the profile in View-Only mode. They can see the candidate’s contact information and application files (resume, cover letter, application snapshot) but cannot take actions or view notes, email history, or hiring documents.
If you find a qualified candidate who fits other roles within your organization, you can forward them to different requisitions directly from their profile. To learn more: Forward a Candidate.
If you need a hard copy of the candidate profile, select this option to print it.
This action allows you to request an interview with the candidate. You can select one interviewer and provide available time slots for the candidate to choose from. Learn more here.
This option functions similarly to the 1:1 meeting times, but you can select multiple interviewers. Learn more here.
Scorecards can be sent to users even without a full interview being scheduled. You can set a due date and time for completion or send the scorecard immediately to interviewers. Learn more here.
When a user clicks this it will try to create a calendar event for the candidate. Depending on the user settings options include:
- Download Calendar Event (.ics)
- Download vCalendar Event (.vcs)
- Add to Google Calendar.

Clicking here initiates the background check process for a candidate using ClearCompany’s background check feature. Learn more about this offering here: Background Checks by ClearCompany - Overview.
This option starts a background check with your choice of third-party providers integrated with ClearCompany, including Shield Screening and Checkr. For more details, contact your ClearCompany Representative.
You can easily update a candidate’s contact information, upload a picture, change their source, or even delete their profile using the Edit function. Note that this option is restricted to users with Recruiter permissions.
How to Edit Candidate Info:
- Click "Actions" in the candidate profile.
- From the dropdown, select Edit a Candidate Info.
- Modify the necessary information. The available options include:
- Personal Candidate Information
- Candidate Source
- Tags
- Uploads (Files)
- When you are done, click Save & Close at the bottom of the screen.
If you have any documents not completed within ClearCompany or hard copies that have been scanned, you can upload them to the candidate profile to keep your data organized.

Additional Actions
Follow a Candidate
You can follow a candidate to receive updates and alerts on the candidate dashboard.
Note: This will not send you email notifications. Please see the information below to access information on followed candidates.
When a candidate is followed, they will appear on the requisition Dashboard under Candidates I'm Following. This feature will allow you to easily access the candidates you want to keep track of in each requisition.
- On the candidate's profile, there is a star icon under the candidate's name.
- Click on the star to follow the candidate and they will be added to the Candidates I'm Following for that requisition.
- To unfollow the candidate, simply click the star again.
Grade a Candidate
Grading is a quick, easy way to tell who your A players are vs. less well-fitting candidates. Where candidate workflow shows you where a candidate is in the hiring process for the requisition, grading is an easy way for you and the hiring team to see how someone is doing in the hiring process. Grading is useful when using ClearCompany Drip Campaigns.
Grading, if done consistently, will also provide valuable data for reporting later on. For instance, a candidate source quality comparison will show you not only how many candidates you have sourced from different job boards, but pulling in grade data can show you how many A players you have from those sources. You may have a higher volume of candidates coming in from one board, but a higher percentage of top-quality candidates coming in from a different board. You would then have reason to adjust your spending to put more resources towards the board generating more quality talent.
Note that grade will depend on the candidate's fit for each individual requisition. They may be an A player for one position, but a C for another.

A | This candidate has a 90% chance of success in achieving the outcomes for the role. Their skills and exhibited behaviors align extremely well to the competencies and behaviors necessary for success in the role. |
B | This candidate has a 50-89% chance of success in achieving the outcomes for the role. Their skills and exhibited behaviors align somewhat well for the competencies defined for the role. |
C | This candidate has less than a 50% chance of success in achieving the outcomes for the role. They may or may not have skills and competencies that can contribute to success in the role. |
X | This candidate is not under consideration for this position. |
- On the candidate's profile, you will see a grade in the upper left-hand corner next to a profile icon.
- If the candidate hasn't been graded yet, their grade will read as a gray question mark (shown above).
- Pro-tip: Want to access a candidate profile directly without having to search in a requisition? As a recruiter, you can use the Candidate search function in the upper right-hand corner of the platform to search for specific candidates by name, phone number, and more.
- Select the appropriate grade to update them to.
- Note: All candidates will appear automatically with a grade of a gray question mark unless you have auto-grading set up in your application process.
- The change will save automatically.
- Candidates can have different grades for different requisitions.
Candidate Tags
Tags are similar to a custom label and are commonly used to add descriptors to a candidate, these tags can be used to filter candidates in Talent Communities or when searching for a candidate. To learn more check out: Tags Overview.
Candidate Notes
The Team Notes tab displays notes specific to that candidacy that is shared with the Hiring Team members on the requisition the candidate applied to. You can tag and notify team members about notes added to a candidate by typing @ and their name. An email will be sent including the note in its entirety.
