After you complete your System of Record setup, ClearCo begins syncing with ADP automatically. You can review your sync status and manage available settings by going to: Tools > Setup > ADP Integration Management. This article explains the difference between automated and manual syncs, what data updates through ADP, and common sync limitations.

Automated vs. Manual Sync Overview
The Sync status tab in ADP Integration Management shows the last successful sync between ADP and ClearCo.
Automated Sync
ClearCo automatically syncs with ADP every hour. During each automated sync, ClearCo checks ADP for updates to supported employee and organizational data, including:
- New employees added in ADP.
- Employee profile updates.
- New offices, departments, or roles.
- Updates to existing offices, departments, or roles.
Automated sync helps keep your employee and organizational data aligned without requiring manual updates.
Manual Sync
Use a manual sync when you need changes from ADP reflected immediately instead of waiting for the next hourly sync. For example, you may want to run a manual sync after:
- Updating an employee's email address.
- Updating a job title.
- Correcting reporting structure or supervisor data.
- Troubleshooting missing employee information.
What sync updates from ADP
The ADP sync supports updates to many employee and organizational fields. Hourly and manual syncs can update employee details such as:
- Legal name
- Work email
- Phone number
- Supervisor
- Job title
- Department
- Office
- Role
Important
If an employee’s legal name changes in ADP, the legal name updates in ClearCo during sync. However, the Preferred name field does not automatically update and must be managed manually in ClearCo.
Organizational data updates
ClearCo checks ADP every hour for updates to:
- Offices
- Departments
- Roles
- Supported updates include:
- New entities created in ADP
- Entity name changes
Data Retention
To preserve data integrity, ClearCo does not automatically remove previously synced values when information is deleted or archived in ADP.
Examples:
- If a department is archived in ADP, the department is not automatically removed from ClearCo.
- If a field was previously populated and later cleared in ADP, ClearCo retains the most recent synced value.
Recommended process before archiving a department
If you plan to archive a department in ADP:
- Exclude the department using ADP Include/Exclude settings in ClearCo.
- Reassign employees currently assigned to that department in ADP.
- Archive the department in ADP.
Connector configuration
The Connector configuration tab shows how your ADP System of Record connection is configured. If an entity type is fully excluded from sync, the arrows on this page appear in red. Use ADP Include/Exclude settings to manage which data points sync between ADP and ClearCo.
You can also update employee sync settings, including which employee fields are included in sync.
Sync Notes
- Archived or deleted ADP departments do not automatically update or remove department values in ClearCo.
- Preferred names do not sync automatically from ADP legal name changes.
- Archived employees do not continue syncing.
- Office addresses do not sync from ADP.
- ADP supports both primary and secondary positions. ClearCo reads both positions, so verify both values in ADP if position data appears incorrect.
If expected data is missing, try running a manual sync first.
FAQ
If an employee’s personal email is marked as primary in ADP but no email appears in ClearCo, personal email sync may not be enabled. To enable personal email sync: Go to Tools > Setup > ADP Integration Management. Open Connector configuration. Select Edit for Employees. Select which employee data is synced. Enable personal email sync.
No. When a legal name changes in ADP, Legal name updates in ClearCo. Preferred name does not automatically update. Employees or administrators must update the preferred name directly in ClearCo if needed.
For new hires onboarded through ClearCo:
- Personal email is typically marked as primary during onboarding.
- After onboarding is completed and ADP syncs the employee back to ClearCo, the primary email should move to the work email.
- Primary email behavior may also depend on the employee’s hire date. If the work email does not become primary as expected, verify: Hire date has passed, Employee record has synced successfully from ADP.
Possible reasons include:
- The next hourly sync has not run yet.
- The field is excluded from sync.
- The employee or entity is archived.
- The data type is not supported for sync.
Try running a manual sync first.
No. Deleting or archiving data in ADP does not automatically remove previously synced data from ClearCo.
