Once you’ve created and designed an AI Course in ClearCompany Learning, the final step is to configure the course settings. These settings control who can access the course, how it is categorized, and how it appears to learners. Overview
After an AI Course is created and saved, administrators can configure various course settings. These include assigning authors, managing access, setting release/expiration dates, tagging content, and enabling notifications or prerequisites. Configuration ensures the course behaves as intended when published and viewed by learners.
Configuring an AI Course
From the saved object, the following settings become editable:
- Object Name: Name of the object. Required.
- Launch Builder: Returns to the AI Course Builder for design adjustments.
- Description: A course summary. Note: external formatting (e.g., copied from Word) will not carry over.
- Duration: Recommended format: HH:MM:SS. Displayed on the course detail page.
- Duration in Seconds: Back-end only. Used for reporting and transcripts.
- Owner Group: Identifies the team responsible for maintaining the course. Required.
- Keywords: Keywords are any relevant words that will help users search for associated training.
- Certificate Templates: Select the certificate awarded upon completion.
- Completion Emails Enabled: If enabled, ClearCompany Learning will send an email notification to any user who completes the applicable object. The template can be edited in Settings> Email Templates.
- Pre-Approval Enabled: Controls whether users require admin approval to take the course.
- Object Release Date: Users cannot access the course until this date.
- Object Expiration Date: Users cannot access the course after this date. Status changes to Expired.
- Comments: Internal-only. Useful for tracking version history, updates, or admin notes.

Status: By default, all learning objects start in Draft status. There are four object statuses in the system.
- Draft: Draft is the initial status that allows for edits to be made.
- Active: Visible and available to users.
- Inactive: Hidden from users but visible in reports.

Expired: Hidden from the front end. Past completions remain viewable to users under their completed training list, and they can download their completion certificates.

- Update Object Image: Change or remove the thumbnail for this object.
- View on Front End: Click this link to view the object from the Front End User experience.
- View Smart Report Card: Click to view a smart report for this class object.
- View Pre-Approval: Click to view pre-approvals for this object.
- Generate QR Code: Creates a downloadable QR code for training access. For information, refer to: ClearCompany Learning QR Codes.
The Author tab allows a user to assign contributors or subject matter experts who helped create the content.
Tags and Types allow users to use tags to categorize and surface training content. Tags are visible to users and improve searchability. For more information on Tags, refer to: ClearCompany Learning: Tags and Tag Types.
Prerequisites allow users to require learners to complete other courses beforehand.
Equivalencies allow users to associate one object with another, which allows learners to skip training if they have already completed similar training.
Instance Management controls how users interact with course instances:
- If they attempt to launch another object, they’ll be prompted to close the current session and wait two minutes.
- When enabled, users get one completion per instance and must join another to re-register.
The User Access tab allows admins to add or remove Users who have access to this object.
Group Access allows admins to add or remove groups that can see the Learning Object in the “All Training” library.
Additional Information
Depending on the settings and add-ons available in your organization, the additional settings will be available.
When pre-approval is enabled, users with the correct rights can navigate to Learning Objects - Pre-Approval. This will allow users with the "Pre-Approval" rights to Approve or Deny users requesting access to a learning object.
The Pricing tab section is used for companies utilizing e-commerce. When the e-commerce module is turned on, prices for learning objects can be set. For more information on the pricing guide, refer to: ClearCompany Learning: Learning Object Pricing Guide.
To clone objects, an account role must have both the Add Objects and Edit Objects rights in the system.
- To clone an object, select the Clone Object button on the bottom right corner of the General tab within the learning object.
