ClearCompany Learning: Group Types and Group Structure

The learning platform offers tools to help organizations establish a clear hierarchy. Group Types allow organizations to categorize users who share common traits or responsibilities, such as departmental employees or specialized teams. Organizations typically define their hierarchy during the initial implementation phase. This article provides an overview of Group Types and guidance on creating and managing them.

Groups Example Important Information

Group Types help clarify or categorize the associated Group(s). They also ensure easy filtering and searching and Groups are collections of users in the Learning platform. Groups can be used to assign learning content, provide access to learning content, and generate reports. check out ClearCompany: Groups.


Group Structure Overview

Group Structure

The Group Structure displays the hierarchical organization of groups within the platform. While it provides an overview and reporting insights, it does not allow direct editing of the hierarchy. Group Structure Overview.png

  • Admin accounts with top-level group access can review and edit the Group Structure.
  • Individual groups in the structure are active links and can be clicked to view their settings.
  • Users in one group cannot see activity from other groups at the same level. However, groups higher in the hierarchy can view their own activity plus the activity of groups below them.

Managing Group Types

Creating Group Types
  1. From the administration dashboard, click Users/Groups, then click Group Types.
  2. Click + Add Group Type.

  3. Fill out the required fields below:Group Types Field.png
    1. Group Type Owner Group: Determines who can edit the Group Type. For example, selecting the top-level group restricts editing to Admins/SuperAdmins.
    2. Group Type Code: A unique identifier for the Group Type.
    3. Group Type Name: While names don’t need to be unique, it’s best practice to differentiate them for clarity.
    4. Active: If a Group Type is not Active, it will not appear as an option when creating a new Group.
    5. Click Save to finalize your Group Type settings.
Editing a Group Type

Users can edit a Group Type by navigating to Users/Groups > Group Types and clicking the pencil Icon by the Group Type. Edit Action.png

All information included in the original creation is editable. Users will also see the Auxiliary Fields tab which allows admin users to create a custom field for Groups - where the data in that field can be viewed when you edit the group in the Admin area.
