Employee Text Notifications provide HR announcements that can be sent from the HR Admin role to employees. Employees are opted into receiving text messages but can opt out if they choose.

What is it?

Employee Text Notifications provide HR administrators to send announcements to employees via text message. Employees are opted into receiving text messages but can opt out if they choose. If you are interested in this feature reach out to your ClearCompany representative.

How to use it?

A user with HR Admin permission will see Employee SMS Notifications as an option under Tools. Setup.png

Options Available

Message Box

Here you will be able to draft your message. You are also able to include links. New_Notification.png

Who do you want to send it to?
Here you will select who you would like to send this text message notification to. Your options are  below:
Option Info
Everyone You can select to send it to everyone, so every user in the ClearCompany system will receive the text message. Everyone.png
Send to a select few Toggling on this option will allow you to select which users in the system you would like to send the text message to. Select.png
Office You can select by the office and select which offices should receive the text message.Offices.png
Reset or Send
When you are done drafting your message and selecting users you can Click Send or you can click Reset to start over. Send.png

Statuses AvailableSummary.png

Navigate to Tools>Employee SMS Notification, and then go to the Summary tab. This will display previous text notifications and the status of each.

Delivered
The message was delivered successfully and the employee has received it.
Pending
The message has been sent but has not been delivered or received.
Failed

The message has not been sent or delivered. The reasons for this can be it’s an unknown number, the number is no longer in service, the number is a landline, or the device is turned off or out of service area. It is also possible that the number listed has us blocked. An unreachable number can be because the device is turned off or out of the service area. The number is blocked or the number listed is a landline number.

Upcoming Events We advise using this feature to announce upcoming events. For example: training, holiday parties, benefits enrollment period starting, birthdays, anniversary reminders, or outings.
Targeted Communication Sometimes you only need to contact a specific department, location, or role for one particular set of news.
Field/Remote Workers Field or Remote workers do not have easy access to email. Texting them any updates regarding safety, weather changes, or location changes will have the best result.

When creating job postings, hiring internally or getting referrals is one of the best ways to improve the recruiting process. For example, Employee referrals have the highest applicant-to-hire conversion rate – only 7% apply but this accounts for 40% of all hires.

Communicating with New Hires

Text messages can help you keep your new hires informed and engaged through the entire process: reminding them of steps they need to take, due dates, and other important information that will let them hit the ground running in your company.

Performance/Surveys

You can use this tool to send performance cycle reminders to get employees engaged. You can also include a link to an active survey so employees are aware and can increase engagement.

 

FAQ

What can I do if the number failed?

The first thing to do is to make sure that the number listed for the employee is correct. From the summary page, you can also "download the list of failed message recipients" This will allow you to email the employees to make sure their personal number is listed correctly.

What if an employee doesn't have a number listed?
If no number is listed, the employee will still appear as a person you can text but they will appear as "failed".
Can links be used in the text message?
Yes! you can copy a link and paste it into the message.
