Delete a Candidate

Follow the guide below to erase a candidate's data from either a requisition or the recruiting system as a whole.

Before you click anything:

There are several (limited) reasons to delete a candidate record:

  1. The candidate requested that you permanently erase any information you have on them from a previous application.
    • NOTE: It is important to go through your internal process of verifying who this person is. Per Article 12 of GDPR  the client (that's you!) ‘shall provide information on action taken on a request under Articles 15 to 22 to the data subject without undue delay and in any event within one month of receipt of the request.’
    • If you receive a request to be deleted you have up to a month to perform this action.
  2. You created a test or training candidate whose profile you wish to erase so as not to muddy reporting data.

Reasons you shouldn't delete a candidate record:

Unless a candidate specifically requests removal of their personal data from your system, or the candidate in question is a fake candidate, it is not recommended that you delete a candidate.

Permanently erasing a candidate will remove any record that the candidate applied to the position/your company. Any associated candidate data will be erased and will not be retrievable.

If you wish to remove an actual candidate from consideration, you should disposition them instead to remove them from view.

How to delete a candidate record:

1. Access the candidate's profile by either navigating to the Candidates tab of a requisition or using the candidates search function in the upper right-hand corner of the platform (you can search for candidates by name or email here).

2. Click to Edit the candidate profile (found next to Share and Print).

3. Scroll to the bottom of the screen that appears and select Delete this Candidate in the lower left-hand corner.

4. A dialogue box will appear - read this carefully and select the appropriate option (info below):

  1. Delete This Candidacy: Choose this option to delete a test or training candidate. 
  2. Completely Delete This Candidate: ONLY choose this option if the candidate has requested that you remove the record of their application and personal information from the system. As noted in the warning message, this action cannot be undone, even by ClearCompany.

  • Yes the article was helpful.  I was using the edit button but the only option in the pop up window was to "delete this candidacy," which was what I wanted.  I clicked the button, nothing happened.  I clicked "save" and the candidate was still in the pool that I had accidently added him to.  I did log out of ClearCompany and logged back in, same issue.  A co-worker tried, same issue.  Will try again later.
