Proliant: Sending an Onboarding Packet

Once a candidate is hired in ClearCo, users with the Onboarding Coordinator permission can initiate a new hire data transfer to Proliant Onboarding. This article walks through the prerequisites and steps to send an onboarding packet.

Prerequisites

Before sending an onboarding packet, confirm the following:

  • Permissions: The user initiating onboarding must have the Onboarding Coordinator permission in ClearCo. Users without this permission will not see the Proliant Onboarding button.
  • Organization Setup
    • Roles, departments, offices, and users must be configured and maintained within ClearCo before initiating onboarding.
    • Organizations should review their user and organizational structure carefully to avoid creating duplicate records between ClearCo and Proliant.
    • Company codes are assigned to each organization during implementation — confirm the correct code is available if your organization has multiple company codes (Parent and Child Organizations).

Note

The onboarding form is controlled by Proliant, not ClearCo. Field options, templates, and dropdown values cannot be modified within ClearCo. Any updates to these must be made directly in Proliant.


Sending a Proliant Onboarding Packet

  1. Log in to ClearCo as an onboarding coordinator.
  2. Navigate to the candidate’s profile.
  3. Select the Hire tab.

  4. Under Onboarding Activity, click Proliant Onboarding.

  5. If multiple company account codes exist, users may also be prompted to select the appropriate company code before submitting the onboarding packet.

  6. Select the appropriate onboarding template. 
  7. Complete the onboarding form.

  8. Select Submit.

What Happens After Sending

After submitting the onboarding packet:

  • A new onboarding record is created in Proliant.
  • The onboarding process continues and is managed within Proliant's system
  • ClearCo does not receive updates or confirmation once onboarding is underway, all follow-up occurs in Proliant.

Reminder

The integration is one-way. Data flows from ClearCo to Proliant only. ClearCo does not receive employee or onboarding data back from Proliant.


FAQ

Why can't I see the Proliant Onboarding button?

You likely do not have the Onboarding Coordinator permission. Contact your ClearCo administrator to request access.

Can I change the onboarding form fields?

No. Onboarding fields, templates, and dropdown values are controlled by Proliant and cannot be modified within ClearCo. Contact Proliant directly to update any field options.

Does submitting onboarding create a ClearCo user account for the new hire?

No. User accounts must be created manually.
