Purpose
This report aims to enhance transparency, efficiency, and the overall effectiveness of the offer letter creation and approval process, ultimately contributing to a more streamlined and candidate-friendly recruitment experience.
What kind of questions can this report answer?
- What is the average time it takes for an offer letter to be created, approved, and accepted within the organization?
- Are there specific departments or teams within the organization that experience longer delays in the offer letter approval process, and what factors contribute to these delays?
- Can we identify trends or patterns in candidate response times to offer letters, and how can this information be used to optimize the candidate experience and increase offer acceptance rates?

Source of Data
Candidate Name
This data point is populated from the candidate profile. This is either when they complete the application or if a resume is uploaded.
Requisition ID
Depending on your system settings, this data point will be either the auto-populated requisition ID or the user-provided requisition ID.
Requisition Title
This data point is populated from the requisition job title field.
Role
This data point is populated from the requisition role dropdown field.
Recruiter
This data point is populated from the requisition in the hiring team section.
Hiring Manager
This data point is populated from the requisition in the hiring team section.
Department
This data point is populated from the requisition in the administrative info section.
Office
This data point is populated from the requisition in the administrative info section.
Pay Rate Amount
This data point is populated from the Offer Letter System field, pay rate amount, when generating an offer letter for a candidate. This information will only appear if your account employs the use of the offer letter system fields.
Pay Rate Type
This data point is populated from the Offer Letter System field, pay rate type, when generating an offer letter for a candidate. This information will only appear if your account employs the use of the offer letter system fields.
Offer Status
The offer status is pulled from the "Hire" tab of the candidate's profile. The acceptable values for this status are "In Progress", "Accepted", "Cancelled", and "Declined".
Offer Created Date
The date the offer letter is generated.
Date Approved
The date the offer letter was approved, if it has not been approved or if there is no approval process it will display N/A.
Hours to Approval
This column will show the duration, in hours, it takes for an offer letter to receive approval from the moment it was initially sent for approval until it is fully approved.
Date Offer Sent to Candidate
This date represents when the offer was dispatched to a candidate, either through manual initiation or via the automation configuration established in your offer letter process.
Hours from Approval Sent
This column will show the duration, in hours, it takes from when the offer letter was sent for approval to the time the offer letter was sent to the candidate. Depending on your system settings, offer letters may be configured to automatically send to the candidate based on approval.
Completed Date
The completed date is the date on which the candidate signed or rejected their offer letter. This timestamp is also displayed at the bottom of the offer letter page, which can be found under the candidate's "Hire" tab. If the offer letter expires before a candidate accepts or rejects it, the expiration date will be shown here.
Hours from Sent to Completed
This column will display the time duration, measured in hours, that it takes for an offer letter to transition from being sent to a candidate to one of the following criteria being met: Executed or Expired. If the offer letter is not accepted or rejected by the candidate and does not have an expiration date, this field will be blank.
Candidate Custom Fields
This data point will be extracted from the custom field(s) associated with a candidate, which has been established through the Custom Fields Setup process and granted permission for inclusion in reporting.
Internal Offer Letter ID
Each time a new offer letter is created a backend database ID is assigned. This ID is reflected in this column.
Internal Candidate ID
Each time an individual applies they get a new candidate ID. This ID is reflected in this column.
Internal Requisition ID
Each time a new requisition is created a backend database ID is assigned. This ID is reflected in this column.
