The Candidate Flow Log Prebuilt Liveboard is a detailed record of the organization's candidate pool, offering insights into diversity and inclusion efforts, as well as the most common reasons for not hiring a candidate. It provides essential information for monitoring progress in diversity goals and optimizing the recruitment process by identifying recurring non-hire factors.

Purpose

The Candidate Flow Log's primary purpose is to enhance the candidate experience and support diversity, equity, and inclusion initiatives.


What kind of questions can this liveboard answer?

  1. How diverse is our candidate pool?
  2. What are the most common reasons candidates are not hired, and are there patterns or trends in these reasons?
  3. Is our recruitment process aligned with legal and compliance requirements?
  4. Are there seasonal trends in applicant flow? With these trends in mind, are there tactics that the business can prepare for to ensure they are ready for busy seasons or low seasons for hiring?
  5. Are there any disparities or biases in candidate hiring or disposition decisions that need to be addressed?

Default Filters

  1. Time Frame: Last 90 Days.
  2. Data Source: Date Candidate Applied.

Important Note: The data source in which this report is filtered cannot be changed; however, you can adjust the report's time period by accessing the filter option on the left side of the screen.

Custom Fields

Candidate and Requisition Custom Fields can also be included. To add custom fields, the prebuilt liveboard must be duplicated.

Attribute Origin Description
Candidate Application The First and Last name is populated from the candidate profile. This is either when the candidate completes the application or if a resume is uploaded.
Candidate Link Candidate The URL to the candidate profile in the ClearCompany System.
Candidate Grade Candidate Profile This is the grade assigned to the candidate on their candidate profile.
Apply Date Application The Apply Date populates from the candidate profile when the candidate begins the application process or when the candidate was created.
Requisition Title Requisition Requisition Title is populated from the requisition job title field.
Requisition Office Requisition The office is populated from the requisition in the administrative info section.
EEO Type Requisition This data point is populated from the requisition in the administrative info section.
Custom Requisition ID Requisition

Depending on your system settings, requisition ID will be either the auto-populated requisition ID or the user-provided requisition ID.

When the auto-populate is enabled, ClearCompany assigns the ID upon the requisition's initial save. Requisition IDs must be unique across the organization and cannot be reused, even for unposted or deleted requisitions and templates.

Candidate Applied Locations Application Geographic locations a candidate has applied to, for a requisition with multiple posting locations.
Application Status Application The application status is captured from the candidate profile based on whether or not the candidate has submitted their application. The status will display as either Complete or Incomplete.
Candidate Race (Pre-Offer) Application This data point is populated from the Race System question that can be added to the application process. If the race system question is not included in your organization's application(s) this data point will not be populated.
Candidate Gender (Pre-Offer) Application This data point is populated from the Gender System question that can be added to the application process. If the gender system question is not included in your organization's application(s) this data point will not be populated.
Candidate Veteran Status (Pre-Offer) Application This data point is populated from the Veteran Status System question that can be added to the application process. If the veteran status system question is not included in your organization's application(s) this data point will not be populated.
Candidate Disability Status (Pre-Offer) Application This data point is populated from the Disability Status System question that can be added to the application process. If the disability status system question is not included in your organization's application(s) this data point will not be populated.

F.A.Q.

Does the answer, Number of Candidates, include both active and dispositioned candidates?

Yes. This encompasses all applicants who submitted their applications within the specified time frame and satisfy any additional chosen filter criteria. These candidates may currently be active or in a dispositioned workflow.

Why do the “Change in # Candidates” metrics sometimes show a sharp drop mid-month (e.g., 81% drop in August compared to July)?

The “Change in # Candidates” metric compares the entire previous month against the current month-to-date—regardless of how far along the current month is.

This means that if you check early in the month, the drop may look exaggerated. However, the metric can still provide valuable insight even mid-month. For example, if candidate flow is already tracking higher than the previous month after only 12 days, that’s an important signal.

Why do numbers in the Candidate Flow Log change when I look at the same date range on different days?

Example: On Monday, for 4/8–4/14, you saw:

  1. New Candidates: 222
  2. Dispositioned: 49
  3. Hired: 4
  4. Later, for the same date range, Dispositioned increased to 92.

This happens because the Candidate Flow Log filter is based on the Date Candidate Applied, not the date they were dispositioned or hired.

  1. The report always looks at candidates who applied during the chosen date range.
  2. Their current workflow stage (e.g., Dispositioned, Hired) is updated as their status changes over time.
  3. The candidate pool stays the same for that date range, but the counts change as those candidates move through the workflow.
