Omni Search Overview
With the latest enhancements, Omni Search is more intuitive, accurate, and format-tolerant than ever. You’ll benefit from:
- Smarter name matching
- Email address support
- Phone number search with flexible formatting
- A streamlined experience when accessing candidates from the Recruiting module
Whether you’re working from a job requisition or doing a general search, these upgrades help you stay focused on what matters—finding top talent fast.
Permissions
Users need the Goal Admin permission to see the Search All Candidates.
- Recruiters will be able to see all candidates in the system.
- Hiring Managers will be able to see candidates in requisitions; they are part of the hiring team.
- An additional setting can be enabled, "Search All Candidates Permission," which allows a Hiring Manager to search for candidates across the entire organization.
Ways to Search for Candidates
You have several options for finding candidate profiles:
Candidate Omni Search
The Omni Search bar appears in the top-right corner of your homepage. It's the fastest way to find a candidate across your entire system.
Enhanced with:
- Partial name matching with relevance-ranked results
- Exact match prioritization
- Case-insensitive search
- Intelligent prefix handling (e.g., typing “John Sm” shows “John Smith”)
- Hire Eligibility Status is displayed next to each candidate, if available
You can also:
- Search by email, either full address or just the first part (e.g., “jburgos” finds jburgos@email.com).
- Search by phone, regardless of formatting (e.g., “(123) 456-7890”, “1234567890”, and “+1-123-456-7890” all work).
New Default Behavior
When accessing Omni Search from within the Recruiting module, it will default to the Candidates tab, so you don’t have to switch manually.
Single Requisition's Candidates Tab
From a specific job requisition, go to the Candidates tab to see everyone who applied.
- Use the search bar to find a candidate by name, email, or phone
- Apply filters to narrow down results even further
Candidates Page
To access all candidates:
- Click Tools, then Recruiting.
- Click on the Candidates tab.
- From here, you can:
- View all candidates or switch to see candidates from a specific requisition
- Use filters to narrow by hiring stage, tags, role, location, and more
- Apply text-based searches using updated name, email, and phone logic
- By default, you'll be shown a list of candidates who have applied to your Open requisitions. Use the dropdown to switch the Candidates list to show All Candidates From All Requisitions or type the name of a specific requisition to narrow the candidate results.
Advanced Candidate Search
Need more specific filters?
- Click Tools, then click Recruiting.
- Click on the Search tab, then click Advanced Search.
- Set any combination of criteria.
Search Criteria You Can Use
You have a lot of filtering options in Advanced or Saved searches. It is expected that each set of criteria will be different for each job posting you have, so each of these is fully customizable on a per-requisition basis.
| Search Criteria | Description |
|---|---|
| Keywords | Search candidate resumes, applications, or custom fields using Boolean logic (AND, OR, NOT). |
| Candidate Name | Search by names. |
| Tag |
Tags include Custom Tags. While candidates and prospects can be tagged with role and office location, those will live as separate filtering options in a Talent Community. Custom tags are assigned manually to the candidate/prospect by a recruiter. Learn how to set up custom tags Here. |
| Role |
Roles will include any roles that the prospect has applied to or has been assigned as a tag. Learn how to set up roles Here. |
| Location | Search by zip code, city, or office location, with a radius filter. For office locations, we will search for candidates who live within the indicated radius of the selected locations or for candidates who are a potential fit for the location based on tags in their profile. Learn how to set up office locations Here. |
| Job Title | Filter candidates by job title. |
| Hiring Stage | Filter by candidates in specific workflow stages. |
| Applied Date | Find candidates who applied within a specific date range. |
| Grade | Return only candidates with a specific grade or score. |
| Drip Campaigns | This filter will only add or remove prospects in the "Not Contacted" stage. To avoid contacting prospects that are already enrolled in other drip campaigns, apply this filter when searching for new prospects in the "Not Contacted" stage and then move selected prospects to "To Contact" or "Contacted". |
