Troubleshooting Common Error Messages
When working with PrismHR integrations, you may occasionally see errors during applicant or new hire exports. The issues below are some of the most common and are usually easy to resolve once you know what PrismHR expects.
- Invalid gender. Must be M or F
-
PrismHR only accepts M or F for the gender field. Any other value will cause the export to fail.
The gender value is captured directly from the job application. If a different value is selected on the application, the export will fail. Review the applicant’s submitted application and update the gender value to M or F before resending.
- Client ID and location do not match
-
Each department in PrismHR is tied to a specific client ID, and the location must belong to the same client ID.
How to fix:
- Confirm which client ID the location is associated with.
- Update the department so it matches that same client ID.
- Missing hire date for new applicants
-
For new applicants, the hire date is pulled directly from the offer letter. If the offer letter does not include a hire date, the export will fail.
How to fix:
- Add a hire date to the offer letter before sending the applicant to PrismHR. The system pulls this value from the offer letter custom field for hire date, so make sure that field is completed.
- Invalid ZIP code format
-
PrismHR only accepts five-digit ZIP codes. ZIP+4 formats are not supported.
How to Fix:
- Remove the extra four digits from the ZIP code.
- Use only the first five numbers (for example, 12345 instead of 12345-6789).
Before resending data to PrismHR, double-check required fields like gender, department, location, hire date, and address formatting. Catching these details early can save time and prevent repeated export failures.
