The System of Record (SoR) integration allows ClearCompany clients to maintain PrismHR as the system of record for foundational data points in ClearCompany. With the System of Record integration, a PrismHR PEO can manage ClearCompany data for multiple clients.

What is the PrismHR System of Record (SoR) Integration?

Once the System of Record integration has been fully established, the following data will be managed and maintained within PrismHR, meaning that any update you make within PrismHR will remain in sync with ClearCompany.

PrismHR User Permissions and Access

Along with the System of Record, PrismHR users can access ClearCompany via Single Sign On. Please see here for more details on SSO and accessing ClearCompany.

Users within ClearCompany will be automatically assigned permissions based on the type of PrismHR account, which is either Employee or Service Provider. As a note, for all ClearCompany users created through the integration, additional power-user permissions can be added manually in ClearCompany.

By default, all employees will receive the following permissions:

  • Employee
  • Performance Management
  • Goal Alignment

 Note

The above attributes are sufficient to create full employees in the ClearCompany system such that they can have performance reviews launched and goals assigned.

Once the initial configuration is complete, any update moving forward that is made to the following fields in PrismHR will automatically be updated within ClearCompany.

Troubleshooting and FAQ

To view integration sync logs between the two systems, please navigate in ClearCompany to Tools > Setup > PrismHR integration. This page will provide a record of the initial sync date. We will be adding more information in the future.

Frequently Asked Questions

What happens if you delete a location, department or position title in PrismHR that is synced to ClearCompany?
In order to maintain the integrity of historical data records and to not impact current or previous performance reviews, we will not delete any data that has been synced between the two systems, and only break the connection and no longer retrieve new updates. If you need it removed from both systems, you will need to also manually remove in ClearCompany.
What happens if you delete a value in ClearCompany that PrismHR is the System of Record for?
That value is treated as an "excluded value" moving forward, so any updates made to it in PrismHR or new employees assigned will not be reflected in ClearCompany. We do not recommend deleting items in ClearCompany that are managed in PrismHR. All updates should be made in PrismHR as the system of record.
Can I manually add or change Offices, Departments, Roles, or Employees within ClearCompany?

Users, roles, offices, and departments can all be manually added in ClearCompany outside of the system of record integration, however, please note that these manually created entries will not be managed or updated by PrismHR.

Most edits to values that are synced with PrismHR must be done within PrismHR. These values are locked down so that data does not get out of sync between the two systems.

What happens when I terminate an employee in PrismHR?

The corresponding ClearCompany user profile will also be moved into a Terminated status and will no longer be available to pull into performance review cycles.
