Welcome to our guide on understanding performance reviews and survey data within ClearCompany. In this article, you’ll learn how data access works, how review and survey attributes are displayed, and why certain information may appear differently for some employees. We also cover the difference between effective and ineffective questions and provide sample questions you can use.

Data Access is Permission-Based and Respects Data Groups

Data is grouped by type, and access is controlled by user permissions. If a user does not have the necessary permissions, they cannot view or explore that type of data. Additionally, data groups are enforced at all times. This means users can only access the specific segments of data (for example, by department, location, or role) that they are authorized to see, ensuring full alignment with your organization’s privacy and security settings.

Attributes

360 Review + Review Attributes

360 Review-specific attributes (for example, 360 Review Participant and 360 Participant Stage Due Date) are designed only to show who is involved in a 360 Review and their assigned milestone dates.

These attributes should not be used outside their intended context, especially not in calculations or comparisons with standard review attributes.

Incorrect Usage Examples:

  • Mixing 360 Dates with review dates: For example, calculating “How long does it take a 360 participant to complete their review?” by combining 360 Participant Stage Start Date with Review Response Date will produce invalid results. These attributes come from different workflows and are not meant to be compared.
  • Combining Participant and Reviewer Attributes: Using both 360 Participant and 360 Reviewer attributes in a single analysis may result in errors or failed queries due to conflicting data structures.

Rule of thumb: Keep 360 attributes in their own lane. Use them only to understand 360-specific participants and their associated stages or timelines

Survey Participation Count Attributes

Survey Office Participation Count, Survey Department Participation Count, and Survey Role Participation Count are fixed values set when the survey is first created. Each represents how many people were invited to the survey based on a single dimension: Office, Department, or Role.

These counts should only be used with their matching dimension, for example:

  •  fUse Survey Office Participation Count only with the Office attribute.
  • Do not combine it with Department or Role.

Combining more than one of these attributes (For example, Survey Office Participation Count with Office and Department) leads to inaccurate results because participation numbers are not dynamically recalculated when additional filters are applied.

Reviews With No Assignments Won’t Show

Reviews with no assigned users do not appear in reporting. If a review is created as a draft and no users are added, it is excluded from all analytics and reporting views.

This behavior exists because reporting visibility is tied to assigned users. Unassigned reviews are effectively invisible to the system.

Tip: Always assign people to a review before expecting it to show up in reports.

Why Some Reviewers Won’t Show

There are a few key reasons why reviewers may not appear in your analytics. Understanding these behaviors helps you interpret your data correctly.

  • Reviewers Must Submit Their Reviews: Only submitted reviews are included in reporting. If a reviewer is assigned but has submitted their review, their data will not appear in any report or analysis.
  • Understanding 360 Review Participant Data: The 360 Review Participant attribute shows who was invited to provide feedback, but not whether they submitted it or what they said.

If you want to analyze the contents of submitted 360 feedback, use the Reviewer attribute instead. Actual review responses are stored under the Review data type, not in the 360 Participant attributes.

Understanding "Employee Name" Attribute

The Employee Name attribute is used across multiple data types in ClearInsights. Its meaning varies by context, and there are important limitations to understand.

How It Works by Data Type

  • Reviews: Refers to the employee who is the subject of the review.
  • Goals: Refers to the employee assigned to the specific goal.
  • Surveys: Refers to the employee who submitted the response, but only for non-anonymous surveys. For anonymous or semi-anonymous surveys, names are not shown. 
  • One-on-Ones: Displays both individuals involved in each entry. This results in two rows for each one-on-one. For more precise reporting, we recommend using One-on-One Created By and One-on-One Task Assigned To.
  • Shoutouts: Refers to the employee who received the shoutout.

Performance Keywords

Performance keywords allow you to analyze employee performance data using predefined search terms in ClearInsights. These keywords help you quickly explore data related to reviews, goals, surveys, shoutouts, and performance metrics without manually creating multiple filters.

For example, you can run searches such as:

  • Top 10 employees by review score
  • Average review score by department
  • Goals created last quarter
  • Reviews started this year

Performance keywords are grouped into categories to help you structure your searches:

  • General keywords: Rank or sort performance data.
  • Comparative keywords: Compare values or apply conditions.
  • Date keywords: Analyze performance activity across time periods.
  • Text keywords: Find data containing specific words or phrases.
  • Number keywords: Calculate counts, averages, totals, and ratios.
