Configuring and Managing Video Coaching Learning Objects

Video Coaching Learning Objects enable learners to demonstrate their understanding and communication skills through recorded video submissions. Once created, these objects must be properly configured to align with learning goals, user permissions, and assessment criteria. This article walks you through how to configure and manage these objects effectively within ClearCompany Learning, ensuring a smooth learner experience and accurate tracking.

Rights

Users will need the Add Bongo and Bongo Gradebook rights to manage and configure Video Coaching objects.

Configuring Video Coaching Learning Objects

Once a Video Learning object has been created, the Configuration Setup is where users will edit specific elements of the object. Those elements include:

  • Setting object availability, user/group access, and deadlines.
  • Managing video submissions and feedback.
  • Set evaluation and review guidelines.
Configuring an Individual Video Assessment

Individual Video Assessment allows users to edit the following elements:

  • Add Instructions
  • Determine Evaluation Type
  • Configure AI Feedback (optional)
  • Update the toolset for your Learners
  • Configure Peer Review (optional)

To configure, click Configure Bongo. Users will see the following tabs.Configure Bongo.png

Tab Description
General
  • Users can provide instructions and clarify the expectations for the learner. Along with instructions, users can include a video.
  • The video can be recorded live, uploaded, or selected from resources.
  • Instructions are required; if no Instructional Text is added, users will not be able to save.
  • Clicking More Options provides space to include a Post-Submission Message to appear after an assignment has been included (video or text).
  • Users can also toggle showing Instructor Feedback, which allows learners to see feedback from instructors before the grade has been published.

Evaluation

Evaluation is where users determine how learner responses for the assignment will be evaluated. The options available are:

  • Percentage: Instructors will review learner responses and score as a percentage.
  • Smart Scoring: An AI Coach will automatically score learner responses based on their understanding of learning content. Instructors can override scores. Users have the option to automatically publish scores to Learners.
  • Rubric: Instructors will review learner responses and score using a predefined rubric. The Rubric can be filled out by separate evaluators and averaged, and you can also enable a self-assessment. These Rubrics can be imported or built directly in the configuration. They can then be reused for future video evaluations.
  • Auto-Pass: Learners will automatically receive a passing score once a response has been submitted.
  • Five-star: Instructors will review learner responses and score on a five-point scale.
  • Pass/Fail: Instructors will review learner responses and provide a score of either Pass or Fail.
  • Delivery + Key Terms: Learner videos will be automatically scored based on their:
    • Speech delivery (rate of speech, clarity, and use of filler words)
    • Use of Key Terms and Phrases (if configured in the AI Feedback tab).
    • If you're utilizing Delivery + Key Terms Evaluation, you can adjust the weights of the Delivery and the Key Terms to assess your learners with extra precision.
  • Speech Delivery: Learner videos will be automatically scored based on their speech delivery (rate of speech, clarity, and use of filler words).
  • Key Terms and Phrases: Learner videos will be automatically scored based on the use of Key Terms and Phrases. Users will configure key terms and phrases in the AI Feedback tab.
  • Peer Review: Learner videos will be scored by peers who have also completed the assignment based on a five-star rating or a rubric. A new score based on the average of all peer scores is published as each review is completed.

AI Feedback

AI Feedback can analyze Delivery, Tone, Key Terms and Phrases, and even provide AI Coaching. AI Feedback can be disabled, but is required for the following Evaluations:

  • Smart Scoring
  • Delivery + Key Terms
  • Speech Delivery
  • Key Terms and Phrases

Learning Objectives

Learning Objectives will be used to tailor the AI coaching tips that are provided to learners after recording a video, and if Smart Scoring is used, learner videos will also be scored based on the objectives.

To add Learning Objectives, users can provide Reference Material, and the system will automatically generate a list of objectives and criteria based on the material provided. The generated objectives can then be modified or removed if desired.

This could be a video transcript, a scoring sheet, a white paper - anything that covers the content learners need to know.

Toolset

Learners will be provided the Recorder Tool, allowing them to record using their camera, screenshare, upload videos, or record only audio.

Users also have the option of allowing learners to Upload Attachments or Create Meetings for the assignment.

Peer Review

Peer feedback offers diverse insights, enhances self-reflection, and strengthens evaluative skills, fostering collaborative learning and continuous improvement.

Within a Video Coaching learning object, users are able to watch and provide feedback on their peers’ responses once they have completed their own. Below are the settings available:

  • Number of Peer Reviews: The recommended number of peer reviews that users would like learners to perform.
  • Reviewer Selection: Users can select reviewers to pick which learners they can review, or if ClearCompany Learning should automatically assign them. Note: if you select Automatic (System Selected) and are Granting Access rather than Creating an Assignment with the Video Assessment to a specific Group, reviewers will have access to anyone who has submitted.
  • Hide Submitter Identity: Mask the submitter's name. This will not mask any identifiable information included in the submission.
  • Hide Reviewer Identity: Mask the reviewer's name from the submitter.
  • Allow peer review before learner submission: Learners will be able to review other learners' submissions before they submit.
  • Evaluation Type: Choose how reviewers evaluate submitters (5-Star or Rubric*). Reviewers can also leave comments. *The Rubric option will only be available if users are grading with a rubric. Learners will use the same rubric.
  • Due Date (optional): Enter a date peer reviews are completed.

Save

Once saved, users will be brought to a new page where the system will track progress. If users need to update Configuration settings, click the Dropdown under Overview and click Configure.

Configuring a Q&A Video Assessment

Q&A Video Assessment allows users to edit the following elements:

  • Add Instructions
  • Determine Evaluation Type
  • Create Questions & Answers
  • Configure AI Feedback (optional)
  • Configure Peer Review (optional)

Questions

Questions allow users to add questions to the Video Assessment. Users can add them manually via the text box or provide information or generate questions using AI.

  • To add Questions with AI, users can provide Reference Material, and the system will automatically generate a list of questions and response criteria.
  • Users can select all questions they want to include.
  • The reference material could be a video transcript, a scoring sheet, a white paper - anything that covers the content you need your learners to know.

Answer

Answer determines how Learners respond to the questions, provides recording details, determines if learners will allow retakes, etc. Below are the following options available:

  • How do you want learners to respond to questions? Users can set Microphone, Camera, & Screenshare.
    • A microphone cannot be removed, but users can add a video and screenshare component. Note: if selected, these are not optional - they are required for every answer.
  • Recording Start Delay: Users can determine the time allowance for Learners to respond after a question is presented before their response is recorded. You can set this delay anywhere from 0 seconds to 3 minutes. Note: During Screenshare sessions, the delay time is fixed at 0 seconds and cannot be adjusted by users.
  • Recording Min/Max Time (seconds): Users can designate a range (in seconds) for how long they would like answers to be. If using Screenshare, users cannot adjust the minimum time, which defaults to 1 second.
  • Allow Retake: Allows learners to retry questions after recording an answer.
  • Record Reaction: This will remove the option to set a recording start delay.
  • Random Question Mode: This will randomize the question order and number of questions learners will be presented with.

AI Feedback

Save

Configuring an Interactive Video Assessment

The Configuration Setup is where users will edit specific elements of an Interactive Video Assessment

Questions

Users can have up to 20 Questions for a video assessment. 

  • Question Type: Users can add a Multiple Choice Question or add an opportunity for a Video Response.
  • Question: Add the Question text.
  • Prompt At: Determine what time the question is prompted. Users can also select Set At End to have the question show at the end of the video.
  • Multiple Choice Options: If adding a multiple choice question, users can add Multiple Choice Options and corresponding feedback.

Managing Video Coaching Learning Objects

After creating and configuring a Video Coaching learning object, users can edit most fields or clone a learning object.

From the Manage Objects dashboard, Learning Objects > Manage Objects, users can:Manage Objects Dashboard.png

  1. Filter by: Users can filter by Video Coaching Learning Object, but cannot search by Video Assessment Type. To view the video type, open the learning object and check the General Tab. Other filter options include:
    • Author
    • Status
    • Type
    • More Filters allows you to add tags as filters.
  2. Once an object has been selected, click the pencil icon.
Cloning

Cloning allows users to copy objects that they have already created in the system.

Note:

To clone objects, an account role must have both the Add Objects and Edit Objects rights in the system.

  1. To clone an object, select the Clone Object button on the bottom right corner of the General tab within the learning object. Clone Button.png
  2. Additional Options: The following options do not carry over by default; checking the box includes it in the clone.  Clone Object.png
    • Pricing (if using E-commerce)
    • User Access
    • Group Access
  3. Click Clone. The cloned object, by default, will be in Draft status.
Pre-Approval

When pre-approval is enabled, users with the correct rights can navigate to Learning Objects - Pre-Approval. This will allow users with the "Pre-Approval" rights to Approve or Deny users requesting access to a learning object.

Additional Settings

Depending on settings and add-ons available in your organization, the additional settings will be available.

Pricing Tab
The Pricing tab section is used for companies utilizing e-commerce. When the e-commerce module is turned on, prices for learning objects can be set.
