Roles are the positions within your organization that are often similar or the same as the position titles within your organization or are positions that you will be hiring for soon. In this article, we cover how roles are used in recruiting.

Role Management: Creating and Managing Requisition Templates

When creating requisitions, you may find yourself posting the same content over and over again when recruiting across offices or in an expanding team. Rather than manually typing out each requisition or copying and pasting from an old one into a new one, Requisition Templates allow you to use an existing requisition as a basis for any new ones that are created for a Role by automatically populating information into the new requisition.

Before You Get Started: Permissions

Before you can create or manage Requisition Templates, you will first want to ensure you have the appropriate User Permissions to do so. You should have (shown below):

  • Employee
  • User Admin
  • HR Admin
  • Roles Admin
  • Recruiter

Here's how to create a requisition templates

Requisition Templates
  1. Go to Tools - Setup - Roles/Departments/Offices.Roles.png
  2. From the roles homepage, select the role you would like to add to a requisition template.Roles HomePage.png
  3. Navigate to the Recruiting tab.Recruiting Tab.png
  4. Select Create New Template.Create New Req.png
  5. Give the Requisition Template a Name.Template Name.png
  6. Include the Required Information.
    • The only information required to create the Requisition Template is a Name and Department.
    • Other Optional Information you can include:
    • Job description
    • Apply Process
    • Budget information: Salary, budget type, office location
    • Approval process
    • Hiring team
    • EEO information
    • Requisition custom fields
  7. When you are finished, select Save & Close.Template Save and Close.png
  8. You can always come back to edit the Requisition Template at any time!
Create a Requisition Template from an Existing Requisition

If you have already created and posted Requisitions and do not want to make Requisition Templates from scratch, you can use information from these Requisitions to build your Requisition Templates.

  1. From the requisition templates, select the dropdown that says Use existing requisition as a basis in the upper right-hand corner of the Requisition Template Editor. You can then search for the Requisition you would like to use as the basis for your Requisition Template.Existing Req.png
  2. Review the information and see if you would like to edit any information.Review Temp.png
  3. When you are finished, select Save & Close.
Moving and Copying Requisition Templates to other Roles

If you would like to create multiple Requisition Templates for the same Role but with slight adjustments (ex. the same Requisition for different Offices), you can do so by doing the following:

  1. You can either Move or Copy Requisition Templates.
    • Moving a Requisition Template will move the Requisition Template entirely from one Role to another. The Requisition Template will no longer exist in the prior Role it was moved from.
    • Copying a Requisition Template will create a carbon copy of the Requisition Template in the Role it is being copied to. The original Requisition Template will remain in the initial Role it was copied from.
  2. In a Role, select the Move/Copy Dropdown under Requisition Templates. Move.png
  3. You have the option to either Move/Copy a Requisition Template from an existing Role or Move/Copy a Requisition Template to a different Role. If you want to move multiple Requisition Templates to different Roles, you can select them in bulk and move them. Or if you are on a different Role and pull a Requisition Template into that Role without navigating to the other Role, that is possible as well:
    • Move Selected Templates to Role: This will take any Requisition Templates you have selected and move them from this Role to another Role.
    • Copy Selected Templates to Role: This will take any Requisition Templates you have selected and make a copy of it in a different Role.
    • Move Templates to this Role: This will allow you to pull a Requisition Template from a different Role and move it to the Role you are on.
    • Copy Templates to this Role: This will allow you to make a copy of an existing Requisition Template in the Role you are on.Move Options.png
  4. When you have made a selection, the system will prompt you to indicate which Roles/Requisition Templates you are moving to/from. Move to Req.png

Role Management: Attaching Hiring Workflows to a Role

By attaching a Hiring Workflow to a Role, it will automatically use the correct Hiring Workflow when you create a new requisition using this role. This is useful for organizations that have separate - yet specific - Hiring Workflows for different Roles or Departments.

Hiring Workflows to a Role
  1. Navigate to Tools> Setup > Roles/Departments/Offices.Roles.png
  2. Select the name of the Role that you want to edit.Roles HomePage.png
  3. Select Recruiting, then select Edit Hiring Workflow.Hiring Workflow.png
  4. Open the Dropdown Menu to select the correct Hiring Workflow. When finished, select Save & Close. Default.png

When updates are made in a Hiring Workflow from the Hiring Workflows Setup, those changes will be reflected for all Roles to which that Hiring Workflow is assigned.

Can you create a Requisition Template from an existing Requisition?

Yes! The Requisition can be in any status (Draft, Pending, Open)

Who can create Requisition Templates?
Recruiting Admins. See the section above regarding Permissions for more details.
Who can use Requisition Templates?
Anyone who can create Requisitions (Recruiters and Hiring Managers).
