Applicant Privacy & Future Consideration
When candidates apply for a job with your company, they will have the option to opt out of future consideration. The future consideration option can only be selected or changed by the applicant.
What does this mean?
Before an applicant starts their application form for a position, they will be prompted to indicate whether or not they wish to be considered for future/other positions at your company. This lives as a toggle on the profile creation page.
If the applicant selects "No"
If the applicant selects "no" to indicate that they would not like to be considered for other positions now or in the future:
- You will be unable to forward that candidate's profile to any other requisition in the system until such a point that the candidate revisits their profile and indicates otherwise.
- This can be changed by the applicant at any time.
If the applicant selects "Yes"
If the applicant selects yes, you will be able to forward the candidate profile to other requisitions that you have access to.
- The candidate can log in to their profile and change this preference at any time.
How do I determine if a candidate has opted out of Future Consideration?
If a candidate has opted out of future consideration for roles at your company, you will be unable to forward them to any additional requisitions. The Forward to another requisition button will be greyed out on their candidate profile and you will see a message indicating that the candidate has opted out.
How does a candidate change this preference or modify their profile?
The candidate can update their future consideration preference at any time in one of two ways:
- Subsequent application: Through a subsequent application: The candidate will be able to indicate this preference each time they apply to a position with your company.
-
Jobs Portal: Through their applicant Jobs Portal which is found on your Careers Page in the lower right-hand corner of the job listings.
- When the applicant clicks on the Jobs Portal button, they will be prompted to log into their profile using the email address they previously used to apply.
- Once logged in, the Jobs Portal will show the applicant any requisitions they may have applied to and the status of their application, attachments or documents they may have uploaded, future consideration, and text messaging options.
Applicant- Cannot Log into their Application
A candidate who starts an application within the ClearCompany system can return to the application (or access the candidate portal) if they need to update or finish the application. To learn check out Magic Links: Candidate Experience.
Applicant- Received an Error
It can certainly be frustrating when an applicant runs into an error when trying to apply for a position with your organization. The errors usually indicate that something went wrong with the internet browser during the application process. Here are some steps the applicant can take to try to get past an error.
Candidates may experience issues while uploading their resumes if the file size is too large or if they're using an unacceptable file type.
- Ensure the file is smaller than 10MB.
- Supported formats, such as PDF, JPG, or DOC.
- Try using a different web browser if problems persist.
Upload still shows "Upload required."
If an applicant uploads a required document but still sees "Upload required," check the following.
- File size/type: Confirm the file meets requirements (e.g., under 10MB, allowed formats such as PDF, DOCX, JPG, or as configured for that step).
- One required file per field: Some steps only accept one file; if a previous file is present, remove or replace it.
- Browser issues: Try Google Chrome, clear cache and cookies, disable VPN, and close extra tabs.
- Connectivity: Verify a stable internet connection before uploading.
Review Under Allow additional file uploads, when the field is marked as Required, the Min field should only accept a numeric value because it defines the minimum number of files a candidate must upload in the Additional files section. Confirm that there are no additional characters or letters that would cause an issue.
File Issues
If a PDF is under 10MB and still won't upload, the file itself may be the cause. Common causes and fixes:
-
Corrupted or malformed PDF: Open it and re-save it using Save As (choose a new filename).
- Print to PDF or export to PDF from the source document to regenerate the file.
- Complex or incompatible PDF features: Flatten the file by printing to PDF to remove interactive content. Use an Optimize/Reduce File Size option.
-
File security or restrictions: Remove any passwords, encryption, or digital signatures.
- Ensure the document allows content copying and printing (no restrictive security).
- File name issues: Use a simple filename (letters, numbers, dashes/underscores) and avoid special characters.
After making these changes, try uploading again. If it still fails, try a different browser and clear cache and cookies.
Use a recommended browser
Try using Chrome or Firefox as your internet browser when applying. Filling out applications works best with those two browsers. It is also important to ensure that you are running the most up-to-date version of the browser.
The browsers can be downloaded and updated on their respective websites or by following the links below:
Clear Cache and Cookies
Errors are usually resolved after you clear the cache and cookies in your browser as this can help with loading and formatting issues on websites. This process can be accomplished in several different ways, depending on which browser you are using.
We will cover the steps to clear cache and cookies in Google Chrome below:
- Select the three vertical dots in the top right corner of the Chrome page
- Select More Tools from the drop-down
- Select Clear Browsing Data from the next drop-down that appears
- Be sure that Cookies and other site data and Cached images and files are checked and the Time Range is set to All Time
- Select Clear data at the bottom of the window
- Completely close out all windows and tabs in the browser and relaunch the browser. Now try logging back into the application.
- If you are encountering browser-related error messages even after clearing your cache and cookies, there are additional troubleshooting steps you can follow.
- Trying to log in from a different browser or computer.
- Verify if the error persists across different browsers (e.g., Chrome, Firefox).
- Ensure the web browser is up to date.
- Check your internet connection to ensure it's stable.
- Try accessing the application page in incognito or private browsing mode.
Error upon application submission
After clicking on "Continue" at the bottom of the application screen, candidates may see a red banner that prevents the application from being submitted.
These error messages most often occur for two reasons: All required questions have not been answered. A date or phone number field has been answered with an unacceptable format. For date fields, we recommend using XX/XX/XXXX format. For phone number fields, we recommend using XXX-XXX-XXXX.
Applicant- Can't Click on Link
Some email providers don't allow us to send hyperlinks in our emails. If you do come across a link that a candidate can't click, you can advise them they can copy this link and paste it directly into their browser's URL bar.
- Highlight the URL in the email by clicking at the beginning of the address and dragging the mouse to the end of it.
- Press and hold the Command (⌘) key on a Mac or Control key on Windows PC. Next press the C key. This will copy the link.
- Open a new window in your internet browser and click on the empty URL address bar.
- Press and hold the Command (⌘) key on a Mac or Control key on Windows PC. Next press the V key. You should now see the link in the address bar.
- Press Enter or Return on your keyboard. They should now see the page load.
