Onboarding Analytics (Legacy) reports provide visibility into your organization’s onboarding process by tracking task completion, approvals, and timelines. These reports help identify delays, monitor task ownership, and measure how efficiently new hires are being onboarded. With these insights, teams can proactively address bottlenecks, improve accountability, and ensure a smoother onboarding experience for both new hires and internal stakeholders.

Overview

The Onboarding Reports (Legacy) focus on task management and onboarding workflow performance. These reports allow you to:

  • Monitor task completion and overdue items.
  • Track upcoming onboarding responsibilities.
  • Measure the timeliness and efficiency of task completion.
  • Evaluate approver performance.
  • Analyze onboarding activity trends over time.

Report Details

Overdue Tasks by Owner

Provides visibility into onboarding tasks that are past due for both new hires and internal stakeholders.

  • Excludes deleted or opted-out tasks and the default “Welcome” task.
  • Highlights accountability by showing which assignees have overdue items.
Overdue Tasks by Owner: Attributes

Attributes

  • Candidate ID: Unique identifier for the new hire.
  • Onboard: New hire name.
  • Email / Phone: Contact information for the new hire.
  • Start Date: Scheduled start date.
  • Task: Name of the onboarding task.
  • Internal Task: Indicates internal vs. new hire task.
  • First Assignee: Primary task owner.
  • Days Past Due: Number of days overdue for the first assignee.
  • Second Assignee: Secondary task owner (if applicable).
  • Days Overdue: Overdue duration for the second assignee.
  • Approver Email: Email of the approver.
  • Coordinator: Onboarding coordinator.
  • Manager: Hiring manager.
  • Filters:
    • Date Range: Based on the task due date.

Upcoming Tasks by Owner

Displays onboarding tasks that are scheduled for completion in the future.

  • Helps teams plan ahead and manage upcoming responsibilities.
  • Excludes deleted tasks.

  • Candidate ID: Unique identifier for the new hire.
  • Onboard: New hire name.
  • Email / Phone: Contact information for the new hire.
  • Start Date: Scheduled start date.
  • Task: Name of the onboarding task.
  • First Assignee: Primary task owner.
  • Days Remaining: Time remaining until due date
  • Second Assignee: Secondary task owner (if applicable).
  • Due in Days: Days until task is due.
  • Second Assignee Email: Contact for the secondary assignee.

Pending I-9 Tasks (Upcoming & Past Due)

Tracks incomplete I-9 tasks and highlights whether they are upcoming or overdue.

  • Organized by new hire start date.
  • Displays overdue duration when applicable.

Packets with Incomplete Tasks

Provides a summary view of onboarding packets that still contain incomplete tasks.

  • Excludes deleted packets and tasks.
  • Highlights task status by assignee.

  • Job Title: The requisition title.
  • Start Date: Scheduled start date. 
  • Onboard Email: The new hire's email.

  • Packet Name: The onboarding packet used.
  • Pending First Assignee:  The number of tasks that are pending for the first assignee.
  • Past Due First Assignee: The number of tasks that are past due for the first assignee.
  • Pending Second Assignee: The number of tasks that are pending for the second assignee.
  • Past Due Second Assignee:  The number of tasks that are past due for the second assignee.

Task Completion Time

Measures how efficiently onboarding tasks are completed.

  • Includes average completion time and on-time completion rates.
  • Excludes deleted packets and tasks.

Approvers Completion Time

Evaluates the performance of approvers in the onboarding process.

  • Tracks completed vs. pending approvals.

Provides a high-level view of onboarding volume over time.

  • Tracks the number of new hires by start month.
  • Excludes deleted onboarding packets.

  • Start Month: Month and year of start date.
  • New Hires: Total number of new hires.
  • Filter: 
    • Date Range (based on start date)

Tasks by Owner

Displays all onboarding tasks, regardless of completion status.

  • Includes both completed and pending tasks.
  • Excludes deleted tasks.

  • Internal vs. Employee: Task type.
  • Task Owner: Assigned user.
  • Employee Start Date: Start date of the new hire.
  • Task: Task name.
  • Task Completion Date: The task completion date.
  • Status: Current task status.
  • Due Date: The date the task is due.

FAQ

How is “on-time completion” calculated?

On-time completion is calculated as: (Tasks completed on or before the due date ÷ Total tasks with due dates) × 100.

Why do some fields appear blank in overdue reports?

If a task is not yet overdue, fields such as “Days Past Due” or “Days Overdue” will remain blank.

What date is used for filtering?

Most onboarding reports use the task due date or start date (depending on the report) when applying date filters.
