How to edit an Onboarding Packet?

When sending an onboarding there might be times where you will have to make edits to an onboarding packet template or to an in-progress new hire packet. This article will instruct you on how to make edits to an onboarding packet template and a new hire packet.

Editing a New Hire Packet Template

To Edit a New Hire Packet Template, follow the steps below:

Template
  1. Tools>Setup>New Hire Packet Templates. 1. Setup.png2. New Hir.png
  2. Click the Template Dropdown Menu and select the Template you wish to Edit.3. Select Packet.png
  3. You will see four options on the top-right, these options are: 4. Options.png
    • Add Item to Packet: This allows you to add a NEW item to the packet.
    • Edit Packet Details: This allows you to change packet name and orientation.
    • Create New Hiring Packet: This will allow you to create a new packet.
    • Copy Packet: This will allow you to create a copy for the packet. This will have no affect on the original packet.
  4. To edit existing tasks in a packet, see the options below:5. Edit Options.png
    1. X Icon: This will delete the tasks in the packet, this is permanent.
    2. Pencil Icon: This will allow you to edit the tasks, and change the name, task type, file or text.
    3. Move Icon: This will allow you to move tasks around so they appear sooner or later.  You can Click-and-Drag.
  5. If you would like to delete the entire packet you can select the delete icon next to the name of the packet. Delete.png

Editing an In Progress New Hire Packet

When a new hire packet is launched and sent to the new hire, the Onboarding Coordinator can still make changes to that packet in real-time. The coordinator can add, delete, or otherwise modify packet tasks or the details of the packet itself (approvers, hire date, etc.). 

Please keep in mind: that any packet items you delete from the packet will be permanently erased (you will not be able to recall the data). 

Additionally, users are not able to delete or edit forms that have already been approved or in packets that have been completed. 

To edit a live new hire packet, first, find the new hire packet in question. You can do so either through the candidate profile via the Hire tab or directly through the onboarding system by following the steps below. 

In-Progress
  1. Navigate to your Onboarding Dashboard by selecting Onboarding in the Tools menu and then selecting Onboards. Onboards.png
  2. Use the filters at the top of this page to find the new hire whose packet you'd like to update. 3. Filters.png
  3. Click on the pencil  icon on the left-hand side to edit the packet in question. Pencil Icon.png
  4. To modify new hire or internal tasks in the packet, click Modify Packet. This will open a new tab. Modify Packet.png
  5. To add a new item to the packet, click Add Item to Packet in the upper right-hand corner of the packet. Add.png
  6. To edit an existing item (to update the approver, change task name, change form or document, etc), click on the pencil  icon on the task tab. To delete an existing tab, click the  icon on the task tab. Pencil.png
  7. Any changes you make will be updated automatically.

Onboard Coordinator
  1. Navigate to your Onboarding Dashboard by selecting Onboarding in the Tools menu then selecting Onboards. Onboards.png
  2. Click on the pencil  icon on the left-hand side to edit the packet in question. Pencil Icon.png
  3. On the details portion on the left-hand side, navigate to Coordinator and make your new selection from the options available. Coordinator.png

Change the Approver

Please Note:

We advise against using the "No Approval Option" on tax forms. Organizations are responsible for ensuring that all tax forms, both state and federal, are completed accurately. Additionally, Personal Data Sheets and Direct Deposit/Payroll Forms contain sections that must be filled out by an internal user. This information is essential when submitting new hire documentation.

Approvers
  1. Navigate to your Onboarding Dashboard by selecting Onboarding in the Tools menu then selecting Onboards. Onboards.png
  2. Click on the pencil  icon on the left-hand side to edit the packet in question. Pencil Icon.png
  3. Select Modify Packet. Modify Packet.png
  4. On the tasks that you would like to change the approver, select the pencil icon.Pencil.png
  5. Make adjustments to the tasks as needed. If there are multiple tasks you would like to change you would have to do so individually. Edit Tab.png
  6. Select Submit to save the changes.
