Offer Letter Approval

Follow the guide below to approve (or reject!) an offer letter. 

Before an offer letter can be sent to a candidate, all of the assigned approvers must first review the offer and approve it.

If you have been assigned as an approver for an offer letter, there are two ways you will be notified of the approval request:

  • Email
  • Task on your ClearCompany Dashboard

Email Notification

You will receive an email notifying you to approve an offer letter.

The email will include the name of the candidate and the title of the requisition they are being offered. This email will also include a link for you to click on which will take you to the ClearCompany portal to approve.

When you click on the link you will be prompted to login to your ClearCompany account. If you are already logged into ClearCompany on your browser, this link will take you directly to the offer letter.

ClearCompany Dashboard Tasks

Upon logging into ClearCompany, you will be taken to your Dashboard. here you will find My Tasks. If you need to approve an offer letter, you will find it as a task here. If you don't see it, click View All Tasks and you will be taken to your full Tasks page. From here you can sort your tasks by type and priority.

Before you Act: Review Offer Letter Details

When you click to open the offer letter, you will see the following details:

  • Current Status (where is it in the approval process?)
  • Created Date (when was the approval process initiated?)
  • Expiration Date (how many days does the candidate have to accept or reject the offer after it has been sent?)
  • Auto Delivery
    • If this is enabled, as soon as the offer letter is approved by all approvers it will send directly to the candidate. If it is disabled it then then the offer letter will need to be manually sent to the candidate by anyone who has offer letter sender permissions and access to the requisition, i.e. either the hiring manager or the recruiter.
  • Internal Offer Fields
    • These are fields created by the offer letter sender that are intended for internal viewing only. Approvers will be able to see these, but a candidate receiving the offer will not. For example, notes about why you are offering a candidate a particular salary.
  • Approvers (who else is approving this letter?)
    • These go in order, after one user approves the offer it will be sent to the next approver.
  • Offer Letter Fields (what are the details of the offer? Viewable by the candidate)
  • Offer Email Attachments
  • Signatures
    • Shown if/when the candidate signs the offer to accept

Approve an Offer

When you click to Approve an offer, this will send the letter to the next approver in the approval chain (if applicable). If there is no subsequent approver, the offer will get sent to the candidate.

Reject an Offer

When you click to reject an offer, you will be prompted to specify why you are rejecting the letter.

A notification will be sent to the offer creator.

Cancel Offer Letter

To completely cancel the offer (override the approval process and cancel the offer), select this option.

Options

You also have the option to change the auto delivery settings by clicking on Options. You can:

  • Disable Auto-Delivery: The offer will not automatically send to the candidate after the approval process is complete.
  • Customize Email: Amend the email that will send to the candidate with the offer.
