ClearCompany Compensation Management streamlines the way organizations plan and manage compensation. This article walks you through essential pre-launch checks to ensure a smooth start to your compensation planning cycle, including confirming user access, enabling role permissions, sending communications, and verifying Single Sign-On (SSO) configurations.

Getting Started Overview

Before launching your compensation cycle, it’s important to verify that:

  • All applicable users have the correct login access.
  • Relevant roles are marked as “open” for the cycle.
  • Welcome emails are sent (if applicable).

By completing these steps, you’ll minimize disruptions and ensure that managers can begin the planning process without delays.


Verify Login Access

Once an administrator has granted access, users will receive login credentials or an SSO-enabled link, depending on the organization’s configuration. To confirm user accounts and access permissions:

  1. Go to Reports and click TC Reports.TC Reports.png
  2. Select the Admin Access Audit Report.Admin Access.png
  3. Review the report and confirm that managers are correctly assigned access (look for Can Login = Y).Admin Report CSV.png

Updating an Employee

To update a user's access:

  1. Go to Employee Admin and click Select Employee. Select Employee.png
  2. Click Edit next to the employee's name.Select Employee Edit.png
  3. Click Additional Info.Additional Info.png
  4. Update the Can Login? Field as needed.CanLogin.png
  5. Click Submit to save changes.

Enable Open Roles

At the role level, the planning cycle must be marked as Open for the appropriate user groups. To update Open Roles:

  1. Go to Sys Admin and click on Config Talentcomp Cycles.Config TalentComp Cycles.png
  2. Click the Edit (blue pencil) icon next to the active cycle.

  3. Scroll to the Open Roles Section.Open Roles.png
  4. The Open Roles checkboxes designate which users are Open and can log in to the planning screens, regardless of the dates listed.
    • If the cycle dates are currently set as open, if the IsMGR user role does not have a checkmark designating it as an Open Role, the system will not allow that level of user to log in to the system.
    • Unchecking IsMgr removes manager access to the cycle.

    • If sending Welcome Emails, then the Role of IsMgr must be set as an Open Role. The users cannot log in and will be blocked if the Roles are not "open". We recommend confirming the list of CanLogin = Y from the IsMgr=True employees, set the Cycle Open Roles to include IsMgr as open, and then send out Welcome Emails.
  5. Click Submit to save changes.

Send Welcome Emails

Once roles have access, you can send Welcome emails to your planning managers. Only send Welcome emails if you're not using SSO.

  1. Go to Company Admin, click Welcome Email.Welcome Email.png
  2. The Subject and Body can be adjusted as needed, but it is not required.
  3. Click the Select Group Dropdown and Select All Active Managers.Select Group.png
  4. Click Submit.
  5. Save Version: Save Version saves what has been entered into the text boxes. This can include the Subject line or the Body of the email. The Welcome Email does NOT auto-save any changes to the text. Users must click on Save Version in order to keep their edits.
  6. Managers will receive an email with instructions and a temporary password to log in to the Comp Management tool.CWS Welcome Email.png

Please Note:

If using SSO, coordinate with your IT team to ensure managers can log in without email credentials. If your organization uses SSO:

  • Contact IT to activate the SSO tile.
  • Verify that all managers with Can Login = Y have been granted access within your organization’s identity management system.
