Overview
While active objects can be set to viewable for certain groups, Assignments help clarify trainings and lessons that are required. They can include notifications, reminders, and allow for quick reporting.
Note: If you have the Cultivate Add-On, you will have additional tools available. Learn more here.
Create an Assignment
- From the Administration dashboard, navigate to Assignments > Manage Assignments and click +Create Assignment.
- Click Assign by Object.
- Fill out the Fields to build your assignment. Yellow fields are required.
-
Fields Description Batch Name Internal way to identify the assignment batch. This is helpful because you can have multiple objects for a single assignment. We recommend determining a consistent naming convention for your Admin team. Not visible on the front end. See below for Batch Status Explanations.
Start Date When the Assignment will go live - you can schedule ahead of time
Due Date There are a couple of ways to determine the Due Date for an Assignment. Note: this decision impacts Edit Email Reminders and Recurring Assignments.
- None: Assignment will always be assigned, is considered required, but there is no set due date. This means, it will never be marked as “Over Due”.
- Dynamic Date: Use this to give a certain amount of time from assigned date (30 days, 60 days, etc). This is beneficial if you have someone added to an Assigned group after it goes live and you want to ensure they have an adequate amount of time to complete. This is measured in calendar days.
- Specific Date: Use this to assign a specific date. This can be useful for mandatory trainings with explicit deadlines.
Edit Email Reminders This is where you build reminder emails. You can make edits to the email template and also CC Managers. When the reminder is sent, is determined by the Due Date selection.
- Dynamic Date: you will choose Days after assigned on date to determine when the reminders are sent.
- Specific Date: you will choose a Specific Date for sending reminders.
You can add as many reminders as you would like; any user that has not completed the training will receive this email.
Grandfather Previous Completions If you have a training object that was completed by Users before it was formally assigned, you can choose to accept their completion status for the assignment. If you mark Yes, you can select how far back you would like to grandfather User completions.
Recurring Assignments This is marked None as default, and setting up a recurring assignment’s details is dependent on your Due Date selection.
-
Dynamic Date: you can have the assignment recur Once or Recurring (infinitely). Regardless of choice, you will then provide the following details:
- Recur From Date: Choose if you want to base the recurring assignment from User Completed On Date or User Assigned on Date.
- Reassign this batch after how many days: Determine number of days from selected Recur From Date to reassign.
- Specific Date: you can have the assignment recur on a yearly/multi-year schedule.
Send New Assigned Training Emails You are able to send an email to Users once the Assignment is live. If you select yes, you will be able to edit later in the Assigning process.
Comments This is optional; comments are used for Admins with Rights to access and edit assignments. These are not visible on the front end.
- After filling these fields out, click Continue.
- You are now able to assign users to the assignment using the new Navigation tabs. Add Users/Groups/Groupings by clicking the Action button. Users/Groups/Groupings that have been added will be listed on the right hand column on their respective page.
- Select Users: You can assign individual Users
- Select Groups: You can assign Groups
- Select Groupings: You can assign Groupings
- If an individual is added via multiple Groups/Groupings, they will not have duplicate assignments or receive duplicate emails.
- Navigate to the Select Objects tab and select all Objects you want to add to the Assignment. Add them by clicking the Action button. Only Active Objects will appear as options. Included Objects will be listed on the right hand column.
- Navigate to the Confirm tab. Here you will see all Objects, all Users (you will see if they were added via Users/Groups/Groupings), and the Selected Settings. You can return to edit any of them using the Edit Button in the top right corner of each column.
- In the event you want an entire Group to be assigned with the exception of a User, you can manually deselect any Users who you should not be assigned.
- Once you’ve confirmed your details, click Confirm Assignment.
- If you opted to Send New Assigned Training Email, you will be prompted to verify the email. You can select the template in the top right hand dropdown. You can also add CC recipients, edit your title, and edit your subject.
- Once you’ve confirmed, click Save.
