Simplifi-9 I-9 and Everify Integration - Setup Guide

ClearCompany's onboarding system integrates with Simplifi-9 to provide organizations with an advanced I-9 and Everify solution. This guide details how to set up and manage the integration.

Setup process

  1. Connect with your ClearCompany Representative for pricing details and to start the integration setup process.

  2. A Simplifi-9 account will be created for your organization.

  3. Your ClearCompany Representative will complete the integration setup steps to connect your new Simplifi-9 account with your ClearCompany account. Additionally, your new hire packet templates will be updated to include the updated I-9 task and the Simplifi-9 App will be assigned to users who should have access.

 

Migration process

In the summer of 2022, an enhanced version of the Simplifi-9 integration was released. These enhancements require clients with an existing Simplifi-9 integration to migrate to the updated version, using the steps below. 

What to Expect for Next Steps:

  1. Your ClearCompany Representative will conduct a user and location sync between Simplifi-9 and ClearCompany. 
    • Your input may be needed to resolve user or location discrepancies.
  2. The integration enhancements will be enabled on your account.
  3. Your ClearCompany Representative will update your new hire packet templates to include the updated I-9 task and the Simplifi-9 App will be assigned to users who should have access.
  4. Going forward, you will be responsible for managing the list of users that should have access to the Simplifi-9 App, as well as adding the I9 task to any new onboarding packet templates created.

 

Adding the I-9 task to new hire packet templates

  The following steps apply to organizations utilizing the most updated version of this integration. If you had the integration enabled after July of 2022, you are on the latest version. To receive the latest version, follow the migration process listed above.

  1. Open the new hire packet template you'd like to edit
  2. Click Add Item To Packet, located in the top-right

  3. Add a Name for this task
  4. Use the Type dropdown menu to select I9 Completion

  5. Click Submit to save your changes

 

Assigning the Simplifi-9 app to admin users

The following steps apply to organizations utilizing the most updated version of this integration. If you had the integration enabled after July of 2022, you are on the latest version. To receive the latest version, follow the migration process listed above.

ClearCompany's Simplifi-9 app, located in the World of Work platform, provides admins with quick access to the Simplifi-9 system where you can complete Section 2 of the I-9 and check on the status of Everify cases. Your user(s) with IT Admin permission in ClearCompany can follow the steps below to assign the Simplifi-9 app to another user.

  1. Navigate to Tools > World of Work

  2. Click the Usage tab

  3. In the Employees with Access to App section, click + Add Employee
  4. Type to search for the name of the employee

  5. Select them from the search results. That's it!
