Before utilizing the ClearCompany Rehires feature, it's important to ensure that you're familiar with Employee Terminations and that your organization's people data is up to date. Use the checklist below to ensure your user data accurately represents the employment history at the company in order to utilize Rehires with the greatest success.
1. Review Employee Terminations Functionality
ClearCompany Rehires relies on the utilization of the Employee Terminations feature. Learn when and how to terminate your users with this guide: Terminating Users.
Most importantly, understand the difference between Deleted and Terminated users in the context of your ClearCompany account:
When Should I Delete a User vs Terminating them?
Deleting a user should be used for test accounts or employees who have more than one account. Terminating an employee should be used for all real employees as it will save their employee profile, and the User Admin will be able to restore their full profile in the future.
2. Review Existing User Data
Once you've familiarized yourself with Employee Terminations, you'll then want to ensure that your organization has its user data accurately representing Employment History. Some user data points to review are:
- Role
- Original Hire Date
- Account Status (Active, Deleted, or Terminated)
- The goal here is to ensure that the Active user list is up to date and that anyone who was terminated from the company is in a Terminated status, and not a Deleted status.
To review your ClearCompany user setup, we recommend exporting a list of all of your users (Active and Inactive), and completing a bulk user update if any status changes are needed. To export your user data, please follow the below steps:

You'll need to have User Admin permissions in order to be able to make these changes
1. From the ClearCompany homepage, navigate to Tools > Setup > Users
2. Select the Import Users button in the upper right-hand corner of the User Setup page
3. Click the Export Users To CSV dropdown menu
4. To review all user data, select All (Active + Inactive)

- This selection will automatically trigger an email to the email address associated with your ClearCompany User Profile. This email contains the CSV File where you can review the respective user data, and most importantly, their assigned account Status (A/D/T).
3. Update User Data (If needed)
Once you receive the CSV file of user data, you will want to review the Status (A/D/T) column for each user. In this column,
- A represents a user in an Active status
- D represents a Deleted status
- T represents a Terminated status
If you need to change the assigned status for a user, edit the letter in this column to best represent their status with your company.
