Effective compensation management relies on accurate, up-to-date master tables that support key processes such as lookups, job structures, and currency conversions. During implementation and ongoing maintenance, compensation analysts and system administrators play a crucial role in ensuring these tables are configured, refreshed, and aligned with client-provided data. This article outlines the setup, maintenance, and update processes for administrative tables in compensation management.

Master Tables Overview

Master tables serve as the foundation for compensation processes by storing reference data such as currency exchange rates, job codes, locations, and departments. These tables:

  • Enable accurate lookups for business rules and calculations.
  • Require periodic updates (e.g., FX rate changes, new job roles, or organizational updates).
  • Must be manually maintained. At this time, there is no automated upload/import feature for certain tables.

Compensation Analysts Setup

During the implementation process, compensation analysts select the master tables required for the client compensation process lookups.

  • Cycle Refresh: Each compensation cycle typically requires updating table data. For example, new FX rates (currency codes) must be entered for the new time period.
  • Client-Provided Data: The client supplies the updated files, which analysts must use to refresh the system tables.

Since the setup and layout for the tables are completed during implementation, all that is required is to locate the appropriate table and update the values following the same format.


Configuring Master Tables

Compensation Analysts usually rename the tables to include a number at the beginning to pull that table to the top of the list for easy identification of the tables being used for the client. It is important to retain the original table name in the title, as this is referred to in the business rules for the lookups.

Updating Tables:

  1. Click Sys Admin, then Configure Master Tables.Configure Master Tables.png
  2. Select Table: Choose the table you need to update from the left-hand side.Select Table.png
  3. Enter New Values: Update conversion rates by selecting the relevant field, entering the value, and tabbing out.New Values.png
  4. Add New Entries: To add a new entry, for this example, currency codes, click +Currency and complete the necessary fields.Add Currency.png

Company Admin Tab

The Company Admin Tab allows updates to organizational reference tables (e.g., locations, departments, countries).

  1. Click Company Admin and select the table you need to update. For this example, we are updating the Location table.Company Admin.png
  2. Select the field that requires updating and enter the new data.Location Table.png
  3. If you need to add a field, click the + Location on the right.
  4. Consistency Rule: Every location, department, or country used in import data must match the table values exactly.

Job Master Table

It is best practice to save a copy of the current system Job Master locally. This will be your backup copy in case you run into any issues during the upload of a new file.

New Job Master
  1. Click Sys Admin, then QuickStart Setup.Quick Start Setup.png
  2. Click Manage Job Master.Manage Job Master.png
  3. Click Get Existing Data.Get Existing Data.png
  4. Click Get ADD Template to download a template.
  5. Open the ADD template and copy and paste values from the newly provided Job Master Template to the ADD template. Save this file locally.
Delete Old Job Master

Once you have saved a local copy of the current file and have the new file prepared you can delete the data in the system.

  1. Delete All- You can check the box next to Job Code to select all rows of data and then Delete Selected Rows button.Delete All.png
  2. Delete via Upload:
    1. You can use the existing data file and delete all of the data EXCEPT the Dbid column, and then save locally with a new file name.DDID.png
    2. Click Select File > Delete > Browse for the file you saved and then Verify. If there are no errors with the file, then you can Apply Changes.Delete Upload.png
    3. If there are errors, correct them and repeat these steps.
  3. Now that the old data has been deleted, you are ready to load your new file.
Upload New Job Master

From the Manage Job Master page:

  1. Click Select File> Add > Browse for the file you saved and then Verify. If there are no errors with the file, then you can Apply Changes.Select Action.pngVerify.png
  2. If there are errors, correct them and repeat these steps.

Recalculate All

After uploading, the system must be recalculated to apply the new Job Master

  1. Click Sys Admin, then QuickStart Setup.Quick Start Setup.png
  2. Click Configure Input Screen.Configure Input Screen.png
  3. Click Recalculate All.Recalculate All.png
  4. The process is the same for other tables; just follow the format for the existing table and update the relevant values.

F.A.Q.

How often will FX rates, job masters, and location data change?

These tables are typically updated once per year, before the start of a new compensation cycle.

Who is responsible for providing updated files—HR, Finance, or a centralized admin team?

The client’s admin team is responsible for providing the updated data prior to the new cycle opening.
