Add or Update another User's Permissions

User permissions determine what level of access an individual has within your system across ClearCompany's system. Individuals with the User Admin permission can add or update the permissions assigned to another user's account. Familiarity with the definitions of each User Permission is recommended.

 To change a user’s permissions, you must first have the User Admin permission enabled on your account. If you are unsure of your permission levels, please contact your organization's ClearCompany Administrator.

 

Add or Update a Single User's Permissions

  1. Navigate to Tools>Setup>Users.

  2. Use the search bar to find the user you would like to edit permissions for and click on their name.

  3. Click Edit User on the mini-profile that appears.

  4. Scroll down to the Permissions Section. Here, you can add or remove permissions for the User via the Checkboxes. Review the descriptions of each permission here.

  5. When finished, click Update User Details

      The user will need to log out and back into ClearCompany in order for the permission updates to take effect in their account.

 

Add or Update User Permissions in Bulk

User permissions can be added or removed for multiple users at once by conducting a bulk user CSV importWhen building your user spreadsheet, you will enter a value of Y or N within the Permission columns, where Y represents the user should, and N represents the user should not be assigned the corresponding permission. If a permission column is left blank, without a Y or N value, the system will assume the user should not have the user permission.

  The majority of the user permission columns provided on the New User Template or User Export File match the permission names listed in ClearCompany on the Edit User page. Below is a list of permission names that don't have a direct title match in the CSV.

  1. Onboard Coordinator
  2. Goals Admin
  3. Performance Management
  4. Performance Admin
  5. Performance Reporting

  1. Onboarding Coordinator Permission

  5. Performance Review Reporting Permission

Once you have set the correct permission levels in the spreadsheet, save it as a CSV file. Then, follow the instructions in this article to import your user changes.

 

User Permission Examples

Generally, to increase a user's access to system-wide data and setup resources, several permissions will need to be assigned to their account. Below are examples of permission combinations that are used to create common users with specifically curated access levels.

  1. A user with access to all offer letter and onboarding-related tasks such as setup, initiate/send, manage, and view historically.
    • Permission Set: Employee, Recruiter, Offer Letter Admin, Offer Letter Sender, Onboarding Coordinator, and Task Assignee.

  2. A Hiring Manager who can send and view offer letters for candidates they have access to, but not manage the offer letter templates.
    • Permission Set: Employee, Hiring Manager, and Offer Letter Sender.

  3. A user, commonly an executive, with access to reports and account data.  
    • Permission Set: Employee, Recruiter, and Performance Reporting.

  4. A user who is a participant in Performance activities such as being a review subject for evaluations performed by others and evaluating other employees in their review.
    • Permission Set: Employee, Performance Management, and Goal Alignment.

  5. A user who can set up, administrate, and oversee all Performance activities.
    • Permission Set: Employee, User Admin, HR Admin, Performance Management, and Performance Admin

  • Just learned that an email must be provided in a user's profile in order for the user permission to update correctly. If you are integrated with ADP, update their work email in their personal profile and then sync in ClearCompany so that it will come over
