Absorb LMS WoW App: Setting Up External IDs to Align Departments

Auto-provisioning allows user accounts to be automatically created in Absorb when a new user logs in for the first time via the Absorb WoW app. Aligning Absorb departments and ClearCompany departments will be required to support auto-provisioning for the Absorb LMS World of Work (WoW) App. This guide will go over the steps necessary to make sure your departments are aligned between Absorb and ClearCompany.

The mandatory fields for setting up a new user in Absorb include first name, last name, username and department.

The “External Id” of the user’s department in Absorb has to match the corresponding “Custom Department ID” of the user’s department in ClearCompany for auto-provisioning to work.

Your organization will need to manually align the departments across both platforms. The ID value can be made up if neither department has an ID available in those fields and up to 32 characters. The name of the departments do not need to match.

Step 1: Log into your ClearCompany account and ensure all the ClearCompany departments have a Custom Department ID

Adding the External ID for Departments in ClearCompany

  1. Head to Tools > Setup and then under Organization Setup click Roles/Departments/Offices Screen_Shot_2023-01-18_at_5.41.17_PM.png
  2. Click the Department tab, then click ADD DEPARTMENT(S) Screen_Shot_2023-01-18_at_5.42.27_PM.png
  3. In the Custom Department ID field, enter a value
  4. Click Submit to save your changes

Step 2: Log into your Absorb account and ensure all the Absorb departments have an External Id that matches the corresponding Custom Department ID in ClearCompany

You will need access to Absorb as a System Admin (all access user) or an Admin with permissions to edit departments.

Adding New Departments and their External ID in Absorb

  1. On the admin dashboard, click the icon with 2 people for the Users menu on the left of the dashboard and then click Departments

  2. From there click Add New either above the table or click Department at the right of the dashboard
  3. Add the name of the department
  4. In the External Id field, add a value that matches the Custom Department ID from the corresponding ClearCompany DepartmentAdding_Departments_Absorb.png
  5. Click the Save button at the top-right of the dashboard

Adding/Editing the External ID for Existing Departments in Absorb

  1. To edit an existing department go to Departments, select the department and click Edit to the right of the dashboard Absorb_Editing_Department.png
  2. In the External Id field, make any necessary changes such as adding or editing a value to match the Custom Department ID from the corresponding ClearCompany Department and click SaveAbsorb_Editing_Department_Details_used.png

You may want to consider exporting a list of your departments from Absorb and bulk importing them in ClearCompany using the Department Import tool.
