General

Applicant

Each person will have one applicant profile in ClearCompany. The applicant profile stores information about the person that will be consistent across their various requisitions they apply to. This information includes things like name, address, and contact information.

Candidate
One person can have multiple candidacies in ClearCompany. A candidacy is created for each requisition that the person applies to. The candidate record will store information such as the workflow stage, emails and notes records, interview scorecards, offer letter, and onboarding packet forms.
Search
Keyword Search will only search for candidates who have the keyword(s) in their resume or other stored information.
Shortname

Your organization's ClearCompany account is comprised of an external-facing Company Name and an internal-facing Shortname. This Shortname is used by the system to auto-generate links and sites that are unique to your organization. Job posting links, public and internal career sites, and your ClearCompany login page, all utilize the Shortname attribute.

The Shortname exists as the subdomain in your ClearCompany URL. Employees will navigate to this URL when accessing ClearCompany, formatted as companyshortname.clearcompany.com.

This Shortname can be modified by a ClearCompany Representative, such as the Support team.

Our name, prior to rebranding as ClearCompany.
Micro-Learning

Deals with relatively small learning units and short-term learning activities. The term is used in e-learning and related fields in the sense of learning processes in mediated environments. Microlearning is a holistic approach for skill-based learning and education that deals with relatively small learning units. It involves short-term-focused strategies specially designed for skill-based understanding/learning/education.

Power User

A primary user of our software. Almost always a recruiter who is in the system daily, managing candidates as well as back-end setup.

Proof of Content

An exercise in which work is focused on determining whether an idea can be turned into a reality. A proof of concept is meant to determine the feasibility of the idea or to verify that the idea will function as envisioned. It is sometimes also known as proof of principle.

Whitelist
Some email security settings automatically block emails from our system. To override these settings, the client's IT department must whitelist our domain information to allow messages through.
Implementation Wrap-up
Implementation will be considered complete when all system configuration deliverables are fulfilled, training resources have been provided, and testing guidance has been reviewed.
Proxy Vote

Definition: A vote cast by one person as a representative of another.

ClearCompany Specific: Used specifically in relation to the tool Aha. You can add a client as a "proxy vote" to an existing idea submitted by another client. Proxy voting allows us to track how many clients have requested an idea. The Aha Proxy Vote is tied to the client’s Account in Sales. This allows us to run reports that help with prioritization decisions like how much ARR is tied to the idea, how much ARR is up for renewal in a given period of time, etc.

Auto-grading

The email written here will be sent to candidates who have applied via email or have been added to the system through an instant upload. You can use the macros above the email text to populate the candidates first and last name when the response is sent out.

Auto Response Template

The email written here will be sent to candidates who have applied via email or have been added to the system through an instant upload. You can use the macros above the email text to populate the candidates first and last name when the response is sent out.

Bulk Reply Templates

Bulk reply templates are email templates used for communication through the system. You can create an email template for any type of email you may send frequently when replying to candidates or when forwarding candidates to an email address.

Authorized Users

Users that have been granted access to view requisitions by Recruiters via the Advanced Options section of a requisition. Often used for multiple Hiring Managers.

Candidate Custom Field

Candidate Custom Fields are fields that you can create that will appear in the candidate's tearsheet. You can create:

  • External fields: Questions that appear in the online profile process. These fields can be used to fully customize the online application process, making sure that you receive all the information you need about a candidate. Remember that you will also be able to ask questions through the online profile an/or screening questions.
Email Templates

Email templates are used to expedite common communications with candidates. You can create an email template for any type of email you send frequently when replying to candidates or when forwarding candidates to an email address.

Email Upload

The email upload option allows you to submit an applicant’s documents through an email.

Embedded

Designed and built as an integral part of a system or device. (iFrame Career Sites)

General Data Protection Regulation (GDPR)

Wikipedia defines GDPR as “The General Data Protection Regulation 2016/679 is a regulation in EU law on data protection and privacy in the European Union and the European Economic Area. It also addresses the transfer of personal data outside the EU and EEA areas.”

iFrame

A way to display text/images directly from another source. We use an iFrame to display our career sites on client websites (embedded).

Keyword Search (ATS)

Keyword Search will only search for candidates who have the keyword(s) in their resume or other stored information.

Job Launch

Job Launch is when we activate your public job boards and requisitions start being sent out to partner boards.

Tear-sheet

A page in the ATS that organizes and displays all the data associated with a single candidate, including Resume, Application and Notes.

Requisition Custom Field

Custom fields are ways to create fields in ClearCompany that allow you to capture specific information for your requisitions, candidates, or offer letters. Requisition custom fields will appear during the requisition creation process. When creating custom fields for candidates, you will be able to add a field at the bottom of a candidate profile which can be filled out by your recruiting team. Click here to learn more.

Requisition Approval Process

When you create a new requisition, are there certain people within your organization who must review and approve the requisition before it can go live? If so, this section will be very useful to you! Instead of a traditional paper-based approval process that requires you to chase signatures all over the office, our electronic requisition approval process can accomplish the same goal paper-free! When you list someone as an approver, they will receive an email that gives them all the information they need, and allows them to click through and approve or reject a requisition.

A broad stage of the hiring process encompasses multiple steps, called micro stages.

Screening Questions

Screening questions may be used to quickly and easily learn more about the qualifications of candidates. Screening questions are grouped by folders and are enabled by requisition; you get to choose exactly which sets of questions are asked for each position. Typically, screening questions are grouped by job fuctions such as administrative, sales, marketing, etc. This allows for targeted information to be collected depending upon the nature of the position. If necessary, you can activate more than one group of questions on the requisition.

Onboarding

Custom Form

An online fillable form that is custom-created for a single client. QuickStart clients received three free custom forms and TalentCoach clients received 5 free custom forms during Implementation. Additional forms can be purchased - Loop in sales to discuss pricing with your client! (Pricing around $100/yr.)

Document Library

Before you can add a form to a New Hire Packet, you’ll need to upload it into the Document Library. This page can be found under SetupOnboarding SetupDocument Library.

Form
A document that new hires complete as part of the onboarding process.
Legacy/Old Recruiting
Refers to the previous version of the Applicant Tracking software. Customers onboarded prior to mid 2017 have previously or are currently using this version.
My Tasks
This is where you can find all onboarding forms from new hire packets that have been assigned to you and that require your approval. Each form will give you the option to either accept or reject.
Online Form
A form that is completed electronically via custom and stock online forms. Some form data can be sent to integrated payroll providers.
Stock Form
A standard online form that we provide for customers. No customizations are allowed.
Sign and Scan
A form that cannot be completed electronically. New hires must download, and print the form on paper, then scan a copy into our system.

360 Review (PM)

In a 360 review, a selected group of co-workers collectively review an employee. Answers are shown collectively and are not tied back to a single co-worker.

Goals: Aligned vs. Unaligned

Goals can be aligned to a supervisor’s goal. If your goal is part of a larger effort, this will allow you to coordinate and keep sight of the bigger picture! It also allows you to see how your goal contributes to the overall mission and direction of your organization.

Performance Review (PM)

A method of employee self-evaluation with additional input and assessment by the employee's supervisors.

Quality of Hire (PM)

A measurement of how well you are recruiting. It is a type of anniversary-based review that considers performance, retention, and goal achievement in the first 90 days after hire.

Quality of Onboarding (PM)

A measurement of how well you are assimilating a person into your company. It is a type of anniversary-based review that considers how well the employee was treated when they joined the company.

Review Cycle (PM)

A period of review for one or more employees. This can be a Performance Review or a 360 Review.

Review Template (PM)

This is the structure of a review cycle. When you create a new Review Cycle, you will be prompted to select and apply a template. Templates contain the questions and evaluations that an employee will fill out. (Think review content) You can create as many different templates as you like, to learn more click here.

Scale (PM)(ATS)

A measurement tool that can be applied to Standard Review Sections, Goal Review Sections, and Interview Scorecards in Recruiting, to learn more click here.

Workflow (PM)

Performance workflows are used to customize a stage of a workflow, (and the person whom each stage applies to). You may create and edit notification text and settings for each stage. Feel free to customize the product by creating as many workflows as you like.
