New hire integration validation functionality improves the reliability and stability of our new hire integration process. By implementing validation checks, this feature helps ensure the data being sent to integrated third-party systems will be valid, resulting in a successful export with a complete dataset. By providing detailed error messaging when data does not pass validation, it helps identify what data is missing or invalid, making it easier to resolve than generic third-party error messages.

How It works

  1. Users will initiate the new hire data transfer. The transfer can be initiated using one of the options below. Which trigger is determined during the integration setup:
    • A candidate being placed in the "Send to [export]" workflow stage
    • The completion of an onboarding packet
    • Manual export via the "Send Data" button on a candidate's Hire tab
  2. The data is first processed by the export, applying any data transformations, mappings, or pre-configured formatting, and THEN checks against the integration validation rules set in the data export.
  3. If the data does not meet the validation criteria, error messages will be shown on the Hire tab of the candidate profile. All errors are shown at once if there are multiple issues.
    • If the validation fails:
      • ClearCompany will automatically update the workflow stage to “Failed to Export”.
      • An email will be sent (if configured) notifying the pre-determined user(s) that an export failed.
  4. Error messages will either indicate that a required field is missing data, or that data provided does not meet the specifications of the export, such as a valid date format. It may also indicate the source of the data within ClearCompany, such as the Hire Date.
  5. Users can correct the errors based on the data sources by providing missing information, or ensuring valid data is entered.
  6. Users can then re-trigger the data export after corrections.
  7. The data will be re-validated against the integration validation rules.
  8. If the data passes all validation checks it is automatically sent to the third-party providers. No further action is required from the client for the data to be transmitted.

This feature is designed to make it easier for users to identify the cause of export failures, and to resolve them quickly and efficiently. If you require assistance in troubleshooting integration validation errors, they can also be used by ClearCompany Support to more quickly identify discrepancies in your export data.
