Introduction to Requisition Templates

When creating requisitions, you may find yourself posting the same content over and over again when expanding your team. Rather than manually typing out each requisition or copying and pasting from an old one into a new one, Requisition Templates allow you to use an existing requisition as a basis for any new requisitions that are created for a Role, by automatically populating information into the new requisition. What are requisition templates?

Requisition Templates allow users who are creating requisitions to use templates that are saved for previously created requisitions and for roles. Requisition templates also allow admins to restrict what hiring managers are adding to requisitions by locking fields.

Permissions

Before you can create or manage Requisition Templates, you will first want to ensure you have the appropriate User Permissions to do so. You should have the Employee & Recruiter Permission.

Navigating to Requisition Templates

  1. Click Tools, then Setup.Setup.png
  2. Click Roles/Departments/Offices.Roles.png
  3. From the Roles Page, select the role you would like to create a template for. If you would like a general requisition template, you can also add one under Company. Check out Role Management- Add Roles, to learn how to create roles.Roles HomePage.png
  4. When you click on a Role Title, the Role Details will appear on the right-hand side of the page. Click the Recruiting tab found under the Role Mission Statement to view more information.Recruiting Tab.png
  5. From the Recruiting tab, you can create a new template and move/copy one to an existing role.

Creating A Requisition Template

Create a New Requisition Template

Once you have selected a Role, you can add a Requisition Template.

  1. Select Recruiting and then select Create New Template.Create New Template.png
  2. Give the Requisition Template a Name.Create New.png
  3. Select a Hiring Manager.
  4. Select a Recruiter.
  5. If you want to use an existing Requisition as a base for the template search on the right-hand corner on "User existing requisition as basis". All of the requisition information (Description, Office, Department, etc.) will populate in the Requisition Template Editor.
  6. If using data groups, you will have the option to select the assigned group under Template's Assigned Group. Data Group access to this requisition template will be restricted to the requisition's hiring team and people who have access to the requisition's assigned group. "All Groups" means that anyone will be able to use this template.
  7. The fields with the lock icon next to their name are part of the Hiring Compliance Guardrails: Locked Requisition Fields. Hiring Managers are unable to edit any fields that are locked. Recruiters can unlock and edit all previously locked fields during the requisition creation process. Lock any fields you do not want hiring managers to be able to edit. Locked.png
Description

Job Description. You can copy and paste an existing job description into this field or type one out manually. Pro tip: Don't spend too much time formatting the description. Many settings such as font color and type will get overridden when the job is posted to job boards based on the boards' website settings.Job Description.png

Apply Process

Apply Process.pngThis includes:

  1. How the candidate will apply: Apply Online or Apply via Email.
  2. If Apply Online is selected, under the ‘Select the online process candidates will use to apply’ section, click on the application to display a dropdown menu of all saved application templates for your organization.
  3. Your saved applications are listed alpha-numerically within this dropdown menu. Notice the default application selected on this page is based on the title of the application that comes first alphabetically.
  4. You will be able to see the application that will be used and you can make adjustments to the application sections if applicable.
  5. If using Text-To Apply, you can toggle that on in this section. Text-To-Apply allows applicants to apply to this job via text message. Applicants will text the Application Code to the number below to begin the application process. We recommend including the phone number and application code in the job description for posting.
Salary Range

  1. What is the salary range for this role? Is it budgeted? Below are the fields.
    1. Salary Range: The salary range for the requisition (Yearly or Hourly). You can select to send the Salary Range when posting to Indeed.
    2. Budget: Options include: Budgeted Addition, Budgeted Replacement, Budgeted Temporary, Unbudgeted Addition, Unbudgeted Replacement, Unbudgeted Temporary, Budgeted Contractor, Unbudgeted Contractor, Budgeted Internship, and Unbudgeted Internship.
    3. Number of openings: Depending on your requisition settings, this will eventually auto-close a requisition when all openings are filled. To learn more, check out: ATS: Requisition Settings.
    4. Office: position location. Tied to job board posting and user setup. Hiring for a remote or statewide position? You will be able to select that option under "Location for Job Boards" below.
    5. Department: The department that the role will be a part of.
    6. ADP WOTC Organization ID: If applicable, you will also have the option to add an ADP WOTC Organization ID.
Location (s) for Job Boards (US)

For a single requisition in ClearCompany, multiple locations can be added so that each location has its own job posting. You can also select Remote and State/Nationwide. Keep in mind that Hiring Managers will not be able to select more than one location when creating a requisition. It would be best to have the desired locations selected in a requisition template. Approvers

List your approvers here in the order that you would like for the approval process to follow. Type in the name of a specific user or role and select the user from the dropdown menu to add them to the Approval List.

  Some accounts may have an approval process setting called Cascading Approvals enabled which includes functionality not described in this guide. For more details on how to set up or use the Cascading Approvals feature, please review this article.Approvers.png

Hiring Team

If you need additional users to be able to view the candidates in this requisition add additional reviewers to the Hiring Team by using the Reviewers search bar under "Who should be able to see applications". Type in the name of the employee and select their name from the list. Note, that the employee will need to have a ClearCompany user account to be added to the Hiring Team.Hiring Team.png

Additional Information

  1. Employment Status (Full-Time, Part-Time, Contract, Internship, Temporary, Volunteer). This field is only supported by Indeed at this time.
  2. Experience Level Options Include Entry Level, Mid Senior Level, Director, Executive, Internship, Associate, and Not Applicable.
  3. EEO Type Options Include: Not Set, Executive/Senior Level Officials and Managers, First/Mid-Level Officials and Managers, Professionals, Technicians, Sales Workers, Administrative Support Workers, Skilled Craft Workers, Semi-skilled Operatives, Laborers and Helpers, and Service Workers.
  4. Job Industry & Job Function, these fields include dropdowns of pre-set EEO information used for EEO reporting and tracking purposes. Note that these cannot be customized.
Custom Requisition Fields*

Requisition Notes

Add requisition notes: this is optional. Depending on your internal process, you can type in any additional notes about the requisition that your team needs. You can tag and notify team members about notes added to a requisition by typing @ and their name. An email will be sent including the note in its entirety.Requisition Notes.png

When all necessary fields have been filled, click Save and Close and you’ve completed the requisition template creation process. Now any recruiter or hiring manager who goes to create a new requisition will see the new requisition template as an option.

Moving and Copying Requisition Templates

If you would like to create multiple Requisition Templates for the same Role but with slight adjustments (ex. the same Requisition for different Offices), you can do so by completing the following steps:

Moving and Copying

You can either move or copy Requisition Templates.

  1. Moving a Requisition Template will move the Requisition Template entirely from one Role to another. The Requisition Template will no longer exist in the prior Role it was moved from.
  2. Copying a Requisition Template will create a carbon copy of the Requisition Template in the Role it is being copied to. The original Requisition Template will remain in the initial Role it was copied from.

To Move or Copy Requisition Templates.

  1. Once you have selected a role, navigate to the Recruiting Tab.Recruiting Tab.png
  2. Select the Move/Copy Dropdown under Requisition Templates.Move:Copy.png
  3. You have the option to either Move/Copy a Requisition Template from an existing Role or Move/Copy a Requisition Template to a different Role. If you want to move multiple Requisition Templates to different Roles, you can select them in bulk and move them. Or you can pull a Requisition Template into that Role without navigating to the other Role. Move or Copy.png
    1. If selecting Move or Copy to Role, click on the checkbox next to the template. If a Template is not selected, the option will be greyed out.
    2. Move Selected Templates to Role: This will take any Requisition Templates you have selected and move them from this Role to another Role.
    3. Copy Selected Templates to Role: This will take any Requisition Templates you have selected and make a copy of it in a different Role.
    4. Move Templates to this Role: This will allow you to pull a Requisition Template from a different Role and move it to the Role you are on.
    5. Copy Templates to this Role: This will allow you to make a copy of an existing Requisition Template in the Role you are on. 
  4. When you have made a selection, the system will prompt you to indicate which Roles/Requisition Templates you are moving to/from.
  5. When you have found the requisition template, click Copy/Move Templates.Copy.png

If you would like to create a requisition template for a general requisition that is not tied to a role, you can do so as well.

  1. From the Roles page, select Company on the top-left corner. Company.png
  2. Click the Recruiting Tab.Company Recruiting.png

  4. The process will be the same as above; follow the same steps.

Using an Existing Requisition

If you would like to create a requisition template from an existing requisition.

  1. Navigate to the Create A Requisition Template page.
  2. On the top-right, click "Use Existing Requisition As Basis".Use Existing Requisition.png
  3. Search for the requisition you would like to use as a template, you can search for Open and Closed requisitions.Existing Requisition Search.png
  4. Once the requisition is selected, it will populate the fields and you can edit as you wish.
  5. When you are done, select Save and Close.

Can you create a Requisition Template from an existing Requisition?

Yes! The Requisition can be in any status (Draft, Pending, Open)

Who can use Requisition Templates?

Any Recruiter or Hiring Manager can use requisition templates. Hiring Managers will have a different experience if locking fields so they will not be able to adjust those fields.

Can I import requisition templates I already have saved outside of ClearCompany?

Can the AI Job descriptions be used to write a requisition template?

AI-Assisted Job Descriptions can be used when creating a requisition. If you would like to use AI-Assisted Job Description, we suggest creating a test requisition. Then when creating a requisition template, select to use an existing requisition as the basis for the template.
