Data Walls is an administrative function within ClearCompany that provides HR Admins and User Admins with greater and more granular control over their employees’ access to private data. In this article, we cover the necessary information to get started with Custom Data Walls.

What are custom data walls?

Data Walls allow greater oversight and the ability to restrict data access to only select and designated employees and data groups. Data Walls limit Super Users' (Recruiters and Performance Admins) data visibility, particularly in Review Cycles or Requisitions.

How do data walls and permissions work together?

  1. Permissions, like role-based permissions as a Performance Admin, restrict the functionality a user can manage. Data Walls are meant to further restrict the data this role-based permission has access to. For example: A Performance Admin in the Europe Data Group can only access user Performance data that is assigned to the Europe Data Group and not Performance data in other locations.
  2. Custom Data Walls and Permissions work together in that both may be used to control what users in our system may do, but ultimately, the two function independently of one another.
    1. Permissions control the actions a user is permitted to take (e.g. posting a requisition).
    2. Custom Data Walls control the data or entities (e.g. requisitions) upon which that user may act.

For example, a recruiter has permission to create, view, and edit requisitions. However, that same recruiter may only perform those actions on entities (e.g. requisitions) that exist within the segment(s) to which they have access (e.g. they may view, post or edit all requisitions in Segment A, but will not even be able to view requisitions in Segment B if they do not have access to the segment, or are not otherwise given “explicit permission” to any of the requisitions in the segment.

What are the custom data wall options?

  1. Recruiting Data Walls:  With Custom Data Walls for Recruiting, administrators can define the data segments that exist within their organization, assign requisitions to their corresponding segments, and grant or revoke access to those segments on an employee-by-employee basis.
  2. Performance Data Walls:  HR Administrators will be able to assign specific data groups to view specific employee performance data. 
  3. Onboarding Data Walls:: Onboarding Data Walls allows admins to hide onboarding packet contents from admins who do not have access to an employee's data group and to automatically assign an employee data group in onboarding based on the data group already assigned to the requisition. Data Walls for Onboarding restrict who has access to a new hire’s personal information and complete onboarding packet.
  4. Data Wall / Data Groups are the same across Recruiting and Performance. You can use the hierarchy to create sub-groups within groups to be uber-specific about data access.

What are the benefits of data walls?

  1. Provide HR Administrators with greater control over their employees' access to private data. Limit user access to sensitive employee data to increase data privacy, streamline operations, and improve efficiency.
  2. Ensure better data security and compliance for your organization.
  3. Conveniently grant or revoke access to these groupings on an employee-by-employee basis.
  4. Ease-of-use for larger organizations - For larger organizations, even those who don’t share data privacy concerns, Custom Data Walls can offer a far less “cluttered” experience to Recruiters by filtering out the requisitions and candidates that are not relevant from each of your Recruiters’ views in ClearCompany. This helps save time, improve user experience, and keep Recruiters focused on only the key tasks or hires that are on their plates.
  5. Segment by geography (GDPR), department, or by whatever you want - For clients with renewed data privacy concerns after the passage of GDPR, Custom Data Walls offers the ability to cordon off your data by geography. By defining the geographic segments that are relevant to your organization, and then assigning requisitions and employee segment access as needed, it’s now possible to quickly create the “data silos”.
    1. Segment by department - Does your organization make more sense when you break it into departments? Custom Data Walls can support this as well. Much like with geography, just define your segments, assign requisitions and employee access, and you’re done!
    2. Segment by whatever you want! - Create-your-own segmentation schema according to your organization’s particular segmentation needs! This could include subsidiaries and sub-brands.

Custom Data Walls F.A.Q

Regarding data group assignments, does it have to come from a specific data field or can it be anything?

Data group assignments can come from any source and are manually set.

Will managers be able to view the data group they are a part of?
No, managers will not have visibility into the data group they are part of with the exception of their supervisor relationship providing access to reviews they are assigned to along with the visibility option enabled.
How do Data Walls work in limiting data visibility?
Data Walls limit Super Users' (Recruiters and Performance Admins) data visibility, particularly in Review Cycles or Requisitions. Remember, permissions already limit access to certain features and Data Walls then limit data visibility within a feature.
Will Data Walls impact Data Lakes?
No, Data Walls won't impact Data Lakes.
How can one differentiate between Performance and Recruiting Data Walls in the UI?
We would not recommend organizing Data Walls by Performance or Recruiting. Data Walls are meant to be universal to all data across our unified platform (and each employee can only assigned to one Data group). With permissions, an admin is already restricted to recruiting features or performance features, and within a set of features, Data Walls will limit the employee data that an admin can access.
