How does this tool use my calendar data?

The 1:1 Consistency Tracking tool only looks at the following four pieces of data in your calendar in order to track the 1:1 meetings.

Event ID - a unique identifier for each event.
Date/time - the scheduled time for the event.
Attendees - the individuals participating in the event.
Event Name - this is the subject of the event. Note: this can be restricted if you are using the Free/Busy feature or if you restrict access when using the GraphAPI connection type.
Note: In order to create the calendar integration, we use a company called Cronofy which allows us to create events on calendars, see existing events on calendars, and remove calendar events.

How far back is historical data synced?

When a user connects their calendar, their events are synced with our database. We gather information from the past month and up to six months into the future. This information is used for interview scheduling. Initially, a full sync of the calendar is performed, syncing all events. Afterward, any changes, additions, saves, deletions, or modifications to events trigger a partial sync. A partial sync updates only the changed event, including recurring events. Every time a sync (full or partial) is initiated, the system performs a check to identify scheduled 1:1 meetings within the next 30 days between managers and their direct reports. For the 1:1 check to occur, the manager MUST have their calendar synced. The direct reports do not need to have their calendars synced but must have a user profile in the system with the correct manager designation.

 

Troubleshooting Scenarios

An employee does not see a 1:1 meeting date/time with their supervisor on the home page

  • Check if the manager has their calendar integrated. If not, the meeting will not show up. Once the calendar is integrated, it may take 15-60 minutes for the calendar events to sync and start appearing. For Bulk Calendar Connect, the initial syncing may take up to 3-4 hours.
  • Ensure that the email addresses on the meeting invitation match the primary email of both attendees in the ClearCompany platform. All email addresses must match for the meeting to be automatically detected.

A supervisor does not see the 1:1 meeting date/time with one of their direct reports.

  • Check if the employee has their calendar integrated. If not, the meeting will not show up. Once the calendar is integrated, it may take 15-60 minutes for the calendar events to sync and start appearing. For Bulk Calendar Connect, the initial syncing may take up to 3-4 hours.
  • Ensure that the email addresses on the meeting invitation match the primary email of both attendees in the ClearCompany platform. All email addresses must match for the meeting to be automatically detected.
  • If the meeting was recently added or removed, refer to the items below.

A recently scheduled meeting does not show up

  • After the initial calendar sync is complete, any changes to an existing meeting (updates, new creations, or deletions) are synced when the changes are saved. It may take a few minutes for the changes to reflect.
  • If you have created or changed a meeting, give it a few minutes to sync. If it takes longer than a few minutes, please contact your first line of support.

A recently deleted meeting still shows up

  • After the initial calendar sync is complete, any changes to an existing meeting (updates, new creations, or deletions) are synced when the changes are saved. It may take a few minutes for the changes to reflect.
  • If you have deleted a meeting and it continues to appear as a future 1:1, it will take up to a few minutes for the sync to remove and update that time.

Not seeing past history

  • The system only tracks information for a short period of time, and the data is deleted after 30 days. If you're looking for events older than 30 days, they have been removed.
  • The system only tracks information from the time your calendar is connected forward. 1:1s that occurred before connecting your calendar will not be included.

Work Email Incorrect

  • If a user does not have an accurate Work Email Address due to spelling errors or a blank value, the system cannot identify 1:1 meetings.
  • This issue may occur due to System of Record sync issues or incorrect entries.
  • Once the email is corrected, the 1:1 meeting times should start showing as expected within 5-10 minutes.

No 1:1s are showing

  • The supervisor may not be assigned. Contact your ClearCompany system administrator to get the supervisor assigned.
  • Ensure that you have calendar integration, as it is a requirement for managers in the system.
