Setup

When a recruiter has their calendar integrated with ClearCompany, they can automatically provide 1:1 screening timeslot options to applicants. Applicants can then select their preferred interview date/time and an automated calendar invitation will be sent to both the applicant and recruiter.

If your calendar is not yet integrated, head to your profile > My Account > Accounts to get started.

Your conferencing options will include:

  • In-person
  • Video conference, manually-added link
  • Phone call
  • Google Meet, auto-generated link for meeting

An applicant will be able to choose a time between 9a-5p, Monday - Friday, and only if that time slot is available on your calendar. 1:1 screenings are scheduled for 30 minutes.

Scheduling links have a 72 Hour Timeframe, after that the link will no longer work.

Adding the Schedule Link to a Text

Texting a candidate your calendar availability for use in scheduling a 1:1 is simple!

1. Go to the Candidate profile
2. Click their mobile phone number to begin a text conversation
3. Click the calendar icon to insert the link

Adding the Schedule Link to an Email

Inserting your schedule link into an email is just as simple as texting a link
1. Go to the Candidate profile
2. Click their email address to open the email editor
3. Click "Insert Self-Schedule Link", located just below the subject line!

Adding the Schedule Link to a Requisition/Application

Once you've ensured your calendar is integrated and you have selected your Conferencing option, you'll be able to turn on Self-Service Interview Scheduling on your requisitions.

Head to Tools > Recruiting > Requisitions > Create Requisition.

At the bottom of the Apply Process panel on your CREATE REQUISITION screen, choose to toggle on or off Self-Schedule Screening Interviews.

Self-Schedule Screening Interviews can be turned on for requisitions you have already posted! With the requisition open, head to the Details tab, then click Edit Details.

Applicant Experience

The applicant will be presented with a scheduling tool based on your available calendar. Once they have chosen a time, they will see a confirmation screen as well as receive a calendar invite to their email address.

Recruiter Experience

Once the applicant has confirmed a time for their 1:1 screening, the recruiter will receive their calendar invite for the screening.

Once the applicant has confirmed a time for a 1:1 screening, the recruiter assigned to the requisition will receive a calendar invite. The invite (for both applicant and recruiter) will include the conferencing option the recruiter selected from the above setup steps.

A link to the applicant's Candidate Profile will be included in the invite.

  • Can you adjust the length of the screening interview? Can you add buffer time in before or after an interview so you don't get stuck in back-to-back meetings with no break in between?

  • Does the system recognize items on the calendar set as "free" vs. "busy" when determining availability?

  • Hi! Is there a way to set calendar availability so that a candidate cannot book out a week in advance? For example, I usually only book out 2-3 days. Also is there any way to add prescreening questions when they schedule, like what phone number to reach them at, or what location they are interested in?
