What is the Talent Digest?

The Talent Digest is a monthly email that is sent to users with the CEO's and HR Admin's permission. This email allows us to share key system data. Users will receive a single email at the beginning of each month (on the 1st of the month). See below for information regarding the email and the sections that will be displayed.

How is the digest used?

The Talent Digest serves two primary functions:

  1. Provide data about the hiring, onboarding, and performance metrics of the system that enable leaders to make data-driven decisions.
  2. Provide an automated email to the CEO and other organization leaders so they can have the information without having to log into the platform.

Talent Digest Content Sections

The Talent Digest email includes various sections to provide a comprehensive overview. Let's explore each section:

Email Delivery Information
Information Description
Sent From

The Talent Digest is sent from the email address do_not_reply@clearcompany.com. Users will not receive a response from this email address if they have any questions or inquiries. If you need assistance, please reach out to support@clearcompany.com.

Sent To

The Talent Digest email is sent to all users who have the CEO's and HR Admin's permission. If there are multiple users with those permissions, they will all receive the email. Emails are sent to the primary email address of each user.

Send Date/Time

The email will be sent on the 1st of each month at 9:00 am EST.

Email Subject Line

The email subject line of the Talent Digest will be formatted as follows:
[Org Name]’s Monthly Talent Summary. This is not customizable as of writing this article.

Logo This is the ClearCompany logo which identifies to the user where the email is coming from and uses the new ClearCompany logo. This is not customizable as of writing this article.
Recruiting Section

This section of the email contains data specific to the recruiting capabilities of the ClearCompany platform. If your organization does not have any new information to display, for example, 0 open requisitions, the recruiting section will be replaced with a link to the ClearCompany website.

Open Requisitions
Shows the number of requisitions opened during the last month. The date range is shown in the opening paragraph of the email.

New Hires

This section lists the count of new hires and the names and hires dates of the first 5 new hires. If there are more than 5 new hires, additional users can be viewed by clicking on the View All button at the bottom of the list of new hires. By clicking on the View All button, users will be prompted to log in and will be redirected to the Reporting & Analytics > Talent Digest Report Page. There is a specific report that shows new hires.

A “new hire” in the case of this email is defined as a person who has a “Most Recent Hire Date” field value. Only people with a “Most Recent Hire Date” value from the previous month would be included. The “Most Recent Hire Date” field can be found on the User Profile.

Employee Exits

This section lists users who are terminated and their termination date is in the previous month.

For example, for the email sent on June 1st, the list of employee exits will only include users who have the termination date within the month of May. Users may be terminated in May but their last day is in June they will not be included. Also, if the user was terminated and their termination date is in the past that would not be included in the email. By clicking on the header users are taken to the Reporting & Analytics>Talent Digest Reports Page.

Recognition Section

This section of the email contains data specific to the goal capabilities of the ClearCompany platform. If your organization does not have any new information to display, for example, 0 goals created, the section will be replaced with a link to the ClearCompany website. Goals.png

Information Description
Goals Created

This section shows the number of goals created in the month prior to the digest being sent. This means that for the email sent on June 1st, the number of goals created in the month of May would be displayed.

Goals Completed

This section shows the number of goals completed in the month prior to the digest being sent. This means that for the email sent on June 1st, the number of goals completed in the month of May would be displayed.

Goals Updated

Shows the number of goals updated in the month prior to the digest being sent. This means that for the email sent on June 1st, the number of goals updated in the month of May would be displayed.

Retain and Reward Section

This section of the email contains data specific to the salary and role changes captured in the ClearCompany platform.  If your organization does not have any new information to display, for example, 0 roles changes, the section will be replaced with a link to the ClearCompany website.

Role Changes

This section displays the name, previous role, and new role for people who have new roles in the system from the previous month.

  • If a user did not have a role and was assigned a role, that is not included as a role change.
  • If the new or previous role assigned to the user is archived, they will not be included.
  • If the user's role id is changed but the role name does not change, this is not included.
Role
Salary Changes

This displays the name and percentage change of the person’s salary from the previous month. This email does not contain salary dollar numbers. Salary changes for the June 1st email would show people with salary changes in the month of May.

This information is shown in the Compensation History section of the Employee Profile. Salary information can be updated manually, from an import, or from a System of Record integration.

Salary

If you do not have a specific module, there will be marketing content that replaces that section and directs you to visit our public website.

This report shows role and salary changes that have the Date of Change field in the previous month. The date ranges can be adjusted.

Employee Exits This list shows all users who are terminated. The default filtered date range shows the terminated users from the previous month. You may choose different date changes for filtering.

Active Employees This report shows the number of active users in the system at the moment when the report is run.
Active users are people who have active accounts and are not terminated employees. This does not include candidates. Information is collected from the employee profile."

Goal Summary This report shows goals created, goal updated, and goal completed in the previous month. The date range can be adjusted to provide different goal views. Please note that extending the date range to large data sets will impact performance.

New Hires This report shows a list of all newly hired employees with a Hired Date of the previous month. Please note that Hired Date is a field that can be configured to be populated different ways. The link will show the candidate profile if the user has permission to view that content.

Open Requisitions This report by default shows requisitions that were opened the previous month. Some requisitions opened in the last month may have been closed and will be shown as such in the Current Status field.

How to Unsubscribe from the Talent Digest Email

The users receiving this email will also have the option to unsubscribe from the email or from ClearCompany.

From Email
  1. When the user receives the email you can scroll to the bottom and you will see the "Unsubscribe" button. Email.png
  2. You will be prompted to sign in if you are not already.
  3. You will change the setting in Monthly Digest Email to Unsubscribe. Preference.png
From ClearCompany
  1. Once you are logged into ClearCompany. You can go to the top right corner and select your initials or profile picture.Profile.png
  2. Select My Account. My_Account.png
  3. Navigate to the "Preferences" tab. Preference.png
  4. Under Monthly Digest Email, it can be changed to unsubscribe. Setting.png
  5. A successful message will appear. Success.png
  6. If you would like to subscribe back to the email you can navigate back to this setting to update it.
