Simplifi-9 Process

The purpose of this article is to outline the changes in the I-9 process for your organization and to provide you with shareable resources for training purposes.

New Process in ClearCompany - Using Simplifi-9s embedded I-9 and E-Verify

New Hire Packet is launched New Hire Fills access packet to find I-9 form online New Hire Fills out Section 1 of the I-9 in the ClearCompany onboarding packet. Approver fills out Section 2 in ClearCompany Approver verifies employment documents provided E-Verify is initiated manually, outside of ClearCompany E-Verify is completed manually, outside of ClearCompany. Completed PDF of employee’s I-9 are available for download in ClearCompany: Tools>Onboarding>Completed Forms

New Hire Packet is launched. When New Hire clicks on the “I-9” task, they will see Section 1 of Simplifi-9’s I-9 displayed in their packet. The New Hire fills out Section 1 of the Simplifi-9 I-9, clicking through all required steps of the I-9. The Employer Completes Section 2 of the I-9 in their Simplifi-9 account, which can be accessed through “My Apps,” and going to the “Section 2 Pending” icon in the Simplifi-9 dashboard. Section 2 includes file uploads of List A/List B and C employment documents. When complete, an E-Verify case is automatically triggered and submitted to the Federal Government. Any E-Verify cases requiring action can be addressed in the Simplifi-9 dashboard. When E-Verify case is completed, it will be visible under “E-Verify Completed” icon in the Simplifi-9 dashboard. Completed I-9s will be stored in the Simplifi-9 system, not in ClearCompany. Simplifi-9 I-9s can also be initiated by clicking on “Add Employee” in Simplifi-9, which will trigger an email notification with a link to complete section 1 of the I-9. Simplifi-9 allows for remote completion of Section 2 with their Name Your Own Completer feature.
