Once an onboarding packet has been created and sent to a new hire, they have a few options on where to complete their packet. Onboarding packets can be completed on a computer, laptop, or mobile device. This flexibility allows new hires a more seamless experience.

Onboarding Packet Overview
New Hires will see the Onboarding Widget at the top and center of their dashboard.
The widget will direct them to their Onboarding Tasks and will disappear when tasks are complete or 30 days after their Hire Date.
- When an item is completed, it becomes grey with a strike-through and a green checkmark.
- Completion = all tasks or learning platform assigned learnings are complete.
- If all items are completed, the onboarding widget disappears
- If all items aren’t completed after 30 days post-hire date, the onboarding widget disappears.
Note:
If a New Hire completes all tasks and assignments, the onboarding widget will disappear. If a new assignment is then added within the first 30 days, the Onboarding widget will reappear.
All users with the Learning integration and the Learning permission will see the Learning widget. This is static and always visible. If a user does not have any learning content assigned, they will be prompted to Browse All Learning. The Learning Widget carousals up to 5 assignments (prioritized by due date).
New hires and users can also navigate to My Tasks, to see all the tasks they need to complete.
New Hire: Completing an Onboarding Packet
When a candidate receives the New Hire Packet email, they will need to follow these prompts.
- The new hire will receive an email, they will click the Open Welcome Packet.
- This will bring the candidate to the Onboarding Overview, where they will learn about the onboarding packet as well as the tasks they will have to complete. They can select Let's Get Started.
- This will prompt the candidate to set up a new password. Their username is displayed at the top of the screen. Create a new password according to the password requirements mentioned on the screen. Confirm the password again and then click the blue Set Password & Sign In button.
- They will be logged in to the Home Page, where they will see information about the team and their onboarding program.

Online Fillable Forms: For these types of forms, the new hire will need to complete the form online, add their name and signature and click on Sign and Submit.

Handbook or Policy Tasks: This is a document type of task, and the new hire will need to read through the document and then click on Mark Complete which is equivalent to an electronic signature.
- The new hire can also come back to the onboarding packet, they can log out on the top right corner. When they need to access the packet again, they will enter the username and password that they set up originally.
Admin: Completing Onboarding Tasks
Internal tasks and approvals can range from filling out the employer portion of an I-9 and submitting (a "sign-and-submit approval"), marking an internal task as complete ("mark as complete"), or approving an online form filled out by a new hire ("approval").
Depending on the type of internal task or approval, your options for completing the task may be different. Typically, you will receive notifications for upcoming and overdue tasks and approvals. You can follow the link provided in the email to log in and complete the task or you can log into ClearCompany and follow the steps below to complete the task.
- First, head to Me in the upper left-hand corner of ClearCompany. Click Tasks.
- You can use the filters on the upper right-hand corner of the My Tasks page to sort for your onboarding tasks.
- Click on the task you wish to complete.
- There are two types of ways to approve online forms, depending on the type. The first option is to Sign and Submit and the second is to select the Approve Button. In either case, the approver has the option to reject the form and send it back to the new hire if necessary.
- Sign and Submit Approval - Users will choose this way so that the approver needs to scroll to the bottom and select 'Sign and Submit' to approve this form.
- Approve: Clicking Approve will mark the task as complete.
- Reject: When you select Reject, a popup will appear allowing you to add an explanation for the rejection. This will be included in an automated email to the new hire that notifies them of rejection.
- For non-approval internal tasks, you will be able to select Mark As Complete. This button will appear in place of the Approve or Reject buttons in the upper right-hand corner of the My Tasks tab.
Download and Print a Completed Onboarding Packet
Once a new hire packet reaches 100% completion, an Onboarding Coordinator will be able to download and print the contents of the packet in one PDF file via the Onboards tab.
Onboarding Coordinators will receive an email with a copy of the completed packet automatically when the packet reaches completion.
Please note: You will only be able to download/print the packet once it has reached 100% completion.
- To download/print a completed packet, head to Onboarding in your Tools menu.
- Click on Onboards in the dashboard.
- Change the filtering options at the top of the page from In Process to Complete.
- Once a packet has reached 100% completion, the folder icon on the right-hand side will light up. Click this.
- Click Download Packet or an individual packet component to download it to your desktop and print it.
- The packet will be downloaded in PDF format.
Completed Forms
The onboarding coordinator can view, print, and forward individual completed Sign and Scan Forms or Online Forms.
While you are able to download a completed packet in its entirety when the packet reaches 100% completion, this tab will allow you to access individual completed forms prior to packet completion.
To view/print completed forms, head to Completed Forms under Onboarding in your Tools menu.
- Use the filtering options at the top of the page to find the form you would like to view/print.
- Click the name of the form, and the form will appear as a popup in the system.
- Click the print icon in the upper right-hand corner of the popup to print or save it as a PDF on your computer
Delete an Onboarding Packet
We usually recommend NOT deleting onboarding packets for the reasons below:
- Deleting an onboarding packet wipes any historical data that was previously collected for that new hire and any forms assigned to it.
- A deleted onboarding packet cannot be recovered.
- We highly discourage deleting packets unless they're for test candidates or you are very certain about not needing that information anymore.
- If you would like to proceed with deleting an onboarding packet follow the instructions below.
- In the Onboarding Dashboard, head to your Onboards tab.
- When you have found the packet you wish to delete, click the trash can icon, found on the right-hand side of the page.
- If you do wish to permanently erase the onboarding record (remember: you can't un-delete a packet), click to confirm.
